General Purpose

Richey May is seeking a highly organized and proactive Practice Operations Coordinator to support the operational and administrative needs of a growing practice group. This role will serve as a central point of coordination for billing operations, engagement documentation, internal firm processes, and partner administrative support.

The ideal candidate is detail-oriented, experienced in professional services environments, and comfortable working across multiple internal departments including HR, IT, and Reporting/Compliance. This individual will play a key role in ensuring engagements are properly set up, billing processes run smoothly, and partners are supported in day-to-day operational needs.

Billing & Engagement Administration

Manage billing workflows for the practice, including preparing and processing invoices through CCH Axcess.

Assist with engagement setup including engagement letters, proposals, and client documentation.

Ensure engagement details are properly documented and aligned with firm policies and compliance standards.

Track engagement status and coordinate with partners and client teams to ensure accurate billing and documentation. Internal Coordination & Liaison Support

Serve as the primary liaison between the practice group and internal departments including HR, IT, and Reporting/Compliance.

Coordinate requests, system access, onboarding needs, and operational support for the team.

Assist in ensuring adherence to firm reporting, compliance, and administrative processes. Partner & Leadership Support

Provide administrative support to partners and senior leadership including scheduling, document preparation, and internal coordination.

Assist partners with operational tasks related to engagements, reporting, and practice management.

Support internal communications and ensure key information is distributed to the appropriate teams. Operational & Process Support

Maintain internal documentation related to billing processes, engagement workflows, and operational procedures.

Identify opportunities to improve efficiency in administrative and billing workflows.

Assist in tracking practice-level operational metrics and reporting when needed.

Job Qualifications

3+ years of experience in administrative, operations, or billing support within a professional services, consulting, or accounting environment.

Experience working with CCH Axcess strongly preferred.

Strong organizational and project coordination skills with high attention to detail.

Ability to manage multiple priorities and maintain confidentiality in a professional environment.

Strong communication skills and ability to work cross-functionally with multiple internal departments.

Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
