About the Role
We are seeking a detail-oriented, organized Estate Administration Paralegal with at least 5 years of legal support experience, particularly in probate work. The ideal candidate will have a strong understanding of probate laws, recording requirements, and legal documentation procedures. This role requires excellent organizational skills, attention to detail, and the ability to work efficiently in a fast-paced environment.
Key Responsibilities
General Duties
Support the vision and mission of Jarvis Law Office, PC.
Manage client relationships in accordance with company standards
Maintain and organize case files and documentation
Prepare and organize client information and responses
Perform data entry and update the case management system
Schedule case events and track deadlines
Monitor case progress, milestones, and timeframes
Lead client meetings to review case status, collect documentation, and facilitate signatures
Estate Administration
Conduct client intake calls to evaluate potential estate administration matters
Schedule next-step appointments for prospects and clients
Communicate with clients and third parties to provide updates and gather information
Answer basic questions regarding case status
Probate
Conduct client intake calls for probate matters
Draft correspondence, court documents, and legal forms
Assist attorneys in preparing cases for filing
Perform legal research and report findings to attorneys
Prepare county-specific probate forms using probate software
Contact county probate courts to confirm filing requirements
Enter billable and non-billable time into the case management system
Manage accounts receivable for probate cases, including invoicing and collections
Communicate with clients and third parties regarding case updates
Trust Administration
Conduct client intake calls for trust administration matters
Draft correspondence and legal documents
Communicate with clients and third parties to gather information and provide updates
Manage accounts receivable for trust administration cases
Perform additional duties as assigned
Education & Experience
Completion of an accredited paralegal program or at least five (5) years (10,000 hours) of paralegal experience
Paralegal certification in Ohio or West Virginia preferred, but not required
Prior experience with estate administration and probate in Ohio and/or West Virginia preferred
Understanding of multiple county legal processes
Minimum high school diploma or equivalent
At least five (5) years of customer service experience
Skills & Qualifications

Ability to manage multiple cases and deadlines
Attention to detail and accuracy
Client-focused mindset with strong interpersonal skills
Proficiency with case management systems and legal software
Compensation & Benefits
Base Salary: $65,000 plus
