Hampden-Sydney College is accepting applications for an Assistant or Associate Registrar. Reporting to the Registrar, the Assistant or Associate Registrar is responsible for supporting the College mission by assisting the Registrar in the administration and management of all functions related to the student records, registration, and academic scheduling. This position also ensures the integrity and confidentiality of student records, maintains compliance with institutional policies and regulations, and provides support in strategic planning and policy development.
Duties
Promotes the maintenance and accuracy of student academic records. Ensures compliance with federal, state, and institutional regulations regarding the same. Manages the processing of transcripts, grade changes, and other student record updates.
Supports constituencies in planning and execution of course registration process. Coordinates the development of the academic calendar and course schedules. Troubleshoots and resolves registration issues for students and faculty.
Assists with the end-of-semester grading procedures by finding missing grades, posting Dean's List, Suspension, and Probation statuses, and mailing Dean' List Certificates to students. Prepares student deficiency reports, opening the midterm grade report feature with the requisite grades, processing related reporting routines sent to students, parents, and advisors.
Oversees the degree audit process to ensure students meet the graduation requirements. Assists in coordination of commencement activities and the certification of degrees. Reviews and coordinates approval of student applications for graduation.
Coordinates the local Enrichment programs, working closely with advisors from the high schools, checking the availability of courses, registering high school students for College classes, and preparing permanent transcripts for each student in the program as necessary.
Collaborates with IT to maintain and enhance student information systems. Generates and analyzes reports related to enrolment, academic progress, and other student data. Supports the implementation of new technologies and systems within the Registrar's Office.
Ensures adherence to accreditation standards and reporting requirements. Prepares and submits required reports to governmental and accrediting agencies. Monitors and enforces academic policies and procedures.
Provides exceptional service to students, faculty, staff, and other constituencies of the College. Addresses inquiries and concerns related to academic records, registration, and policies. Conducts training and workshop for staff and faculty on registrar-related topics.
Perform other related duties as assigned by supervisor.
Education/Experience
This position will be classified as either Assistant or Associate based on the selected candidate's education and experience. The Assistant level requires an Associate's degree and 6 months of administrative experience. The Associate level requires a Bachelor's degree and at least five years of experience in a Registrar's Office, or an equivalent combination of education and experience.
