Our team is looking for a Team Lead to run and manage a team of Project Management Assistants (PMA). The PMA team is responsible for processing contract requests for a large utility company. Contract requests include:
• Processing CREQs (contract requisitions): a request to initiate or procure a contract to engage a vendor.
• Processing CCRs (contract change requests): a request to change the terms of an existing contract with a vendor.
• Processing CPAs (contract payment authorizations): an internal approval that allows the utility to pay a vendor for work performed under an approved contract.
The ideal candidate is someone who has strong experience managing a team and understands project management principles. The Team Lead is responsible for allocating contract requests to team members, helping to train and develop their team, and communicating with the client to share progress, challenges, and performance. Additional responsibilities include:
Team and Deliverable Management:
• Serve as the primary escalation point for PMA (Project Management Assistant) team questions, issue resolution, and priority alignment before engaging the Project Manager.
• Assign and balance daily and weekly workloads across PMAs based on volume, urgency, and contractual SLAs (service level agreements).
• Own QA/QC standards for all PMA deliverables (CREQs, CPAs, CCRs,)
• Lead tracking, follow up, and resolution of aging items, approvals, and stalled requests
• Proactively engage Project Managers and stakeholders to remove blockers and prevent downstream impacts
• Escalate risks, trends, or systemic issues to the Project Manager with clear data and recommended actions
Reporting & Performance Management
• Own weekly reporting inputs including production volume, turnaround time, revisions, cancellations, and aging metrics
• Validate data accuracy prior to client delivery and ensure reporting tells a clear performance story
• Track KPIs tied to contract commitments, turnaround times, and accuracy benchmarks
• Support development of QBR inputs and executive level summaries as required

Required Skills & Experience
• 5+ years of leadership experience managing a team of 3-5 people.
• Strong project management experience - ability to understand requirements, lead a team, and give direction to accomplish service level agreements with the client.
• Experience managing client relationships and running meetings.
• Experience working with data to build reports in Excel to showcase performance.
• Knowledge in ERP systems like SAP, Oracle, Maximo, or Asset Suite 8.

• Experience in the utilities, construction, or energy industries.
