Join us as a HR Direct Administrator

Key Responsibilities:

Provide end-to-end administrative and customer support across Preboarding and HR Direct processes, ensuring a smooth and compliant employee experience.

Prepare and maintain employment contracts and legally required new hire documentation (Poland and, where applicable, other European locations), ensuring accuracy, completeness, and timely delivery

Coordinate and track pre-employment checks (including background screening) with third-party providers, following internal standards and agreed timelines.

Execute and validate new hire and intern data entry in Workday, maintaining high data quality and resolving discrepancies promptly.

Manage candidate and new joiner communications from offer acceptance through Day 1, providing clear guidance and a high standard of service.

Respond to routine employee inquiries related to HR policies, benefits, and lifecycle events, escalating complex/non-standard cases through the appropriate support channel as needed.

Support HR case management by logging, triaging, and responding to requests from employees, recruiters, and managers, ensuring timely updates and proper documentation.

Partner with Payroll and relevant internal stakeholders to collect and confirm required joiner details for payroll setup and ongoing HR administration.

Maintain accurate trackers and documentation (e.g., preboarding status, outstanding documents, screening progress), highlighting risks and delays early.

Ensure day-to-day activities comply with data protection and confidentiality requirements, handling personal data responsibly throughout the employee lifecycle.

Contribute to continuous improvement by identifying recurring issues, proposing process enhancements, and supporting updates to templates/knowledge materials

Requirements:

Relevant experience or education will be an asset

Strong relationship management and interpersonal skills

Ability to successfully collaborate with colleagues from the local and virtual teams

Demonstrated customer focus and strong action orientation

Critical thinking and drive for improvement

Awareness of the Data Protection regulations and standards

Excellent organizational skills with a strong attention to details

Ability to manage time, priorities and projects

Knowledge of Workday or other ATS will be an asset
