Contract Role: Project Manager/ Project Coordinator
3-month contract

Job Duties/Description
Calendar Operations: Own logistics for all recurring calendar forums:
Prepare and distribute agendas in advance (via email/chat)
Attend meetings and capture notes + action items
Track attendance for visibility
Route notes for approval (Dhanya Balasubramanian/Elvira Teran) before distribution
Send finalized recaps to broad distribution lists
Meetings include: Marketing Calendar Council (weekly), MLT Calendar Sub-Committee (weekly), and Calendar Planning / Activation touchpoints
Calendar Operations: Maintain the US National Calendar File
Update programming, timing, and details across windows
Populate channel support (Paid, Owned, Earned, etc.) via partner meetings
Incorporate updates from recurring syncs with channel leads
Support cross-functional coordination:
Attend recurring channel meetings and update calendar in real time
Manage ad hoc updates (especially Paid channel inputs)
Calendar Operations: Build and send the weekly national calendar email
Consolidate updates from Tuesday meeting draft by Thursday
Share for review/ Ensure deliverables include- Updated calendar file and PDF + screenshot + link to file
Calendar Operations: AOP Tracking + Financial Inputs (bi-weekly)
Maintain AOP tracking file and inputs:
Follow up on missing financial estimates (Window 7/8, LTOs, etc.)
Update with revised 3+9 financials when available
Ensure coordination with Finance / Brand teams to keep file current
Calendar Operations: Program Documentation & System Tools
Maintain and update:
Calendar Program Summary View (One Pagers)
Calendar Council notes trackers
Upload and manage WeConnect 1 pagers:
Upload new window content
Update financials + channel strategy inputs
Align timing with system announcements
Project Deliverables
Development of Calendar Operations process 'Playbook' inclusive of:
Auditing all Calendar activities, tools, and communications
Documenting all frameworks, processes, tools, meetings, and standardized communications for future use
Strengthening the channel integration part of the process across marketing teams
The salary range for this position is 65-95k. Benefits available to contract/temporary professionals, include medical, vision, dental, and life and disability insurance.
