Position Summary

The Office Manager serves as the central administrative leader for the council service center, ensuring smooth daily operations, high quality customer service, and efficient support for volunteers, families, and staff. This role directly supervises our administrative employees, oversees office systems and procedures, and manages key council business functions—including serving as the staff lead for the annual popcorn sale.

Key Responsibilities

Office Operations & Administration

Oversee day to day operations of the council service center, ensuring a professional, welcoming, and efficient environment.

Manage office workflows, calendars, supply inventory, mail processing, and vendor relationships.

Maintain accurate records, filing systems, and data integrity across council platforms.

Be fluent in and able to maintain the Council's systems, including data entry and maintenance of accurate records for membership and campership.

Serve as a secondary point of contact for general inquiries from volunteers, parents, and community partners.

Ensure compliance with Scouting America policies, financial procedures, administrative standards, and popcorn sales management, including AP/AR, communication with volunteers, and involved in internal and external communication around popcorn sales.

Staff Supervision & Leadership

Directly supervise two administrative support staff, including hiring, training, scheduling, and performance management.

Provide coaching, delegation, and oversight workflow to ensure timely and accurate completion of tasks.

Foster a collaborative, customer service/hospitality oriented team culture aligned with the council's mission.

Popcorn Sale Management (Council-Level)

Serve as the council's staff lead for the annual popcorn sale, coordinating all planning, logistics, and execution.

Work with the Scout Executive and volunteer Popcorn Kernels to set goals, timelines, and communication plans.

Manage vendor relationships, product ordering, distribution logistics, and inventory tracking.

Oversee unit registration, training materials, sales resources, and customer service support.

Track sales performance, process payments, reconcile accounts, and prepare reports for leadership.

Lead post sale evaluation and improvement planning.

Customer Service & Volunteer Support

Provide exceptional service to volunteers, families, and community members.

Support (including attendance at some) council events, trainings, and meetings through scheduling, communication, and logistics.

Assist with membership, advancement, and program support tasks as needed.

Financial & Business Support

Assist with basic bookkeeping tasks such as invoice processing, deposits, and expense tracking.

Support budget monitoring for office operations and popcorn sale activities.

Coordinate with the council accountant and/or finance staff to ensure accurate reporting.

Qualifications

Proven experience in office management, administrative leadership, or related roles.

Supervisory experience required; ability to lead and develop a small team.

Strong organizational skills with the ability to manage multiple priorities.

Excellent communication and customer service abilities.

Proficiency with a variety of office software; comfort learning new systems.

Experience in event coordination, sales management, or volunteer driven organizations is a plus.

Commitment to the mission and values of Scouting America.

Work Environment

Full time, on site position at the council service center and occasionally at off-site events.

Occasional evening or weekend hours during peak periods (e.g., popcorn sale, major council events).

Salary Range ($51,000-58,000)
