We are seeking an experienced and highly organized On-Site Program Manager / Supervisor to oversee Medical Support Assistant (MSA) operations supporting a federal healthcare environment in Bethesda, Maryland. This role is responsible for daily staffing coordination, recruitment support, onboarding compliance, training oversight, quality assurance, and operational continuity for administrative healthcare support personnel.
The ideal candidate will excel in a fast-paced healthcare setting and possess strong leadership, communication, and problem-solving skills.
Key Responsibilities
Ensure all contract positions are staffed with trained personnel at all required times
Coordinate coverage for planned and unplanned absences
Maintain continuity of services across assigned clinical and administrative areas
Coordinate staffing activities with Government supervisors and Contracting Officer Representatives (CORs)
Monitor attendance, punctuality, and shift coverage
Maintain staff sign-in processes and ensure staff remain at duty stations during scheduled shifts
Recruit and pre-screen qualified candidates
Coordinate candidate interviews with Government supervisors
Participate in applicant screening calls and hiring coordination
Ensure completion of onboarding documentation, medical clearances, drug testing, and security requirements
Coordinate PIV badge and federal credentialing processes
Ensure completion of mandatory orientation and annual training requirements
Provide refresher training and performance support as needed
Conduct contractor performance evaluations
Review and approve timecards and differential hour summaries
Attend meetings with Government leadership and provide required reports
Ensure compliance with workplace conduct, customer service, and vaccination requirements
Work Environment
This position supports a healthcare and clinical research environment that operates 24/7, including weekends and holidays. Schedule flexibility may occasionally be required to support evening, night, weekend, or emergency staffing operations.Requirements:
Bachelor's Degree Preferred
3+ years of supervisory experience in a healthcare administration setting
Strong administrative and organizational skills
Experience coordinating schedules, staffing, or personnel operations
Proficiency with Microsoft Office applications, including Word and Excel
Ability to work in a healthcare environment with direct interaction with patients, visitors, and clinical staff
Ability to obtain and maintain required federal credentialing and identification access
Preferred Experience
Experience in healthcare operations, staffing coordination, or supervisory support
Experience supporting hospital, clinic, or patient support services environments
Familiarity with scheduling systems, electronic records systems, or healthcare administrative workflows
