The Logistics & Purchasing Coordinator is responsible for technical coordination and completion of duties to provide operational support through analysis, research, compliance, and other tasks and projects for the Logistics, Purchasing, and Marketing departments, as required.
Salary: $30.00-$35.00 hourly
Key Responsibilities:
Operational Support
Responsible for processing and coordinating sample requests for sales reps and vendors.
Responsible for the coordination of non-stock orders (special orders) between sales & purchasing; maintaining a log to track non-stock orders as well.
Ensures regulatory compliance by maintaining vendor receivables and systematic archiving.
Oversees operator rebates: Encompasses sales notifications, tracking operator earnings, and processing end-of-promotional-period reports.
Assists with internal and external pricing audits by identifying variances, retrieving invoices, consolidating data, reviewing issues with buyers, and preparing necessary documents.
Processing vendor receivables deductions for invoices that are 45 days or more past due.
Perform data mining and trend analysis to provide actionable insights for buyers and department managers. Meticulous and technical preparation and timely distribution of internal/external monthly reports.
Logistics
Coordinate daily logistics activities for inbound freight managed by third-party logistics providers (consolidations/full Truckloads/LTL/rail). Position will be responsible for building loads from various suppliers within specific regions to maximize delivery efficiency, including cargo temperature requirements, CAW, cube-adjusted weight, distance between pickups, and DOT driver time requirements.
Tracking and coordinating pickup and delivery appointments. Reviewing all pickups to ensure they are made on time and routed to meet the buyer's requested delivery window. Communicating with carriers and buyers about any delays, shortages, or other issues.
Audit & reconcile freight invoices for third-party logistics providers. Prepare weekly batch payments. Audit & reconcile small parcel (UPS/FedEx) & LTL freight invoices.
Manages freight claims, ensuring efficient resolution and minimizing financial impact.
Review freight costs and agreements regularly to ensure expenses are in line and explore financial savings and/or adjust freight rates with buyers for the applicable vendors.

Coordinates UNFI purchase orders twice a week: Follows up on items to submit UNFI returns.
Other
Complies with federal and state safety regulations and with company safety policies and procedures. Recognizes safety-sensitive issues and reports any concerns about housekeeping, safety, or damaged equipment to the immediate supervisor.
Perform additional duties as assigned, delegated, or required.
Qualifications:

Bachelor’s degree and/or minimum 3 years of experience in purchasing and/or transportation/freight logistics.
Microsoft Word, Outlook, or similar; AS/400 or similar. Position requires a strong working knowledge of Excel, preferably with experience building formulas, pivot tables, dashboards, VLOOKUPs, and XLOOKUPs for data reconciliation. Additional experience with inbound/outbound traffic management or logistics software is considered a plus.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization. Bilingual in Spanish is preferred.
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
Ability to apply technical and cognitive understanding to carry out instructions furnished in written, oral, or diagram form. Ability to use root-cause analysis to resolve disruptions and issues involving complex concrete variables in standardized situations.
