JOB SUMMARY:
The Sales & Reservations Specialist supports Forest Home's sales and reservations efforts across multiple programs by focusing on Guest Retreat rebooking's, assisting with inbound sales, and providing flexible support to program sales and reservations teams as needed. This role requires a highly adaptable, relational, and organized individual who is comfortable making outbound calls, following up consistently, and delivering excellent customer service. The Specialist will work across seasons and programs, stepping in to assist with outreach, follow-up, and administrative tasks that help move registrations forward. Strong communication skills, attention to detail, and disciplined CRM usage are essential to success in this role.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Guest Retreat Rebooking & Sales Support:
Lead Guest Retreat rebooking efforts by following a structured cadence of post-retreat calls and emails to secure future bookings
Work with urgency and persistence to reconnect with groups after their retreat concludes
Review historical guest data and contact past retreat groups to encourage return bookings
Work closely with the team member handling inbound Guest Retreat sales to ensure smooth handoffs and consistent communication Program Sales & Outreach Support:
Provide flexible support to program sales efforts by assisting with outreach, follow-up calls, or administrative tasks as needed
Make occasional outbound calls related to program registrations, interest follow-ups, or confirmation needs
Help move prospective guests through the decision-making process by answering questions and directing them to the appropriate team member when needed CRM & Administrative Excellence:
Log all calls, emails, notes, and outcomes accurately in the CRM
Track follow-ups and next steps to ensure opportunities are not missed
Maintain organized records that support team visibility, reporting, and accountability Program Reservations Support:
Assist with summer and winter camp preparation as needed
Support reservation-related tasks during peak seasons, including data cleanup, confirmations, and guest communication
Provide backup support for reservations or sales teams during high-volume periods Other Duties as Assigned
EDUCATION and/or EXPERIENCE REQUIRED:
3+ years of experience in sales, reservations, hospitality, customer service, or a related field preferred.
Experience with outbound calling, follow-up communication, or guest-facing roles strongly preferred.
Strong interpersonal and communication skills, with a commitment to hospitality.
Highly organized with excellent attention to detail and follow-through.
Proficient with CRM, registration, or reservation platforms.
Comfortable managing multiple tasks and timelines in a dynamic environment.
Experience working in a camp, retreat center, or ministry context.
Familiarity with event logistics, group housing, and guest communication best practices.
