As the Administrative Assistant - Maintenance, you’ll be the central point of connection between homeowners, technicians, vendors, and leadership. You’ll bring order to incoming service requests, keep technicians on track, and ensure communication is handled with urgency, professionalism, and care. This is a hands-on, in-office role for someone who thrives on organization, problem-solving, and being the person everyone relies on.

This is a full-time position (M-F, 8:00 am-4:00 pm) with an hourly rate of $21-$23, plus a comprehensive benefits package that includes:

Manage and distribute daily, routine, and after-hours maintenance work orders using department software
Serve as the primary in-office point of contact for homeowners, technicians, vendors, and leadership
Coordinate scheduling, bill-backs, bids, and service documentation to keep jobs moving efficiently
Order, track, and maintain inventory of maintenance parts, uniforms, and department supplies
Support department communication through service notices, flyers, door tags, and vendor coordination
Track and maintain fleet maintenance schedules
Provide administrative support, including clerical tasks, scheduling “Lunch-and-Learn” sessions, and supporting Google review initiatives What You Bring

Strong organizational skills and the ability to manage multiple priorities at once
Professional, clear communication skills when working with homeowners, technicians, vendors, and leadership
Confidence using office software (Microsoft Office, Google Workspace, Excel) and learning the work-order system
A detail-oriented mindset with strong follow-through and accountability
