POSITION: Human Resources Administrator
LOCATION: Columbus, OH
REPORT TO: HR Director
FLSA STATUS: Fulltime, Non-Exempt
SALARY: $50,000 to $65,000 annually based on experience
OVERVIEW
The HR Administrator serves as the operational backbone of the Human Resources function at Bay Crane. This role is responsible for ensuring accuracy, consistency, compliance, and efficiency across HR systems, employee records, benefits administration, and payroll coordination. The HR Administrator keeps HR running smoothly and legally by owning day-to-day HR operations, documentation, and employee lifecycle processes while partnering closely with Payroll, IT, HR leadership, and external vendors.
KEY RESPONSIBILITIES
HR Operations, Administration & Compliance
Serve as the primary owner of day-to-day HR administration, ensuring accuracy, consistency, and compliance across all employee lifecycle activities
Maintain complete, accurate, and compliant personnel files, policy acknowledgements, and HR documentation in ADP
Prepare and manage internal employee letters, including transfers, internal changes, employment verifications, and other official correspondence
Manage the HR inbox and ticketing workflow, responding to routine employee inquiries and escalating issues as appropriate
Maintain HR process documentation, position documentation, and audit-ready records
Support internal and external audits by preparing documentation and ensuring compliance with labor laws and company policies
HRIS, Systems & Data Integrity
Own HRIS (ADP) data management, accuracy, and ongoing data integrity audits
Enter, review, and maintain employee records, ensuring alignment across job title, department, manager, pay rate, location, and benefits eligibility
Conduct post-hire HRIS audits and confirm completion of required documentation, including offer letters and onboarding records
Administer ADP HRIS and ATS functionality, including workflow tracking and system updates
Coordinate system access and offboarding access removal with IT
New Hire & Onboarding Administration
Lead HR administrative onboarding processes in coordination with Payroll and IT
Notify IT of new employee start dates, job titles, departments, and branch locations
Send ADP onboarding and background check requests to new hires
Complete New Hire – Office Employee Forms using hiring manager guidance
Track onboarding progress using the New Hire Tracking Sheet
Assign applicable leave policies and confirm onboarding completion before delegating to Payroll
Benefits & Total Rewards Administration
Administer benefits enrollment for newly eligible employees, including education, enrollment support, and system entry
Walk employees through benefits enrollment and qualifying life event changes in ADP
Review benefits elections for accuracy and completeness
Enter and update benefits enrollment and changes in Aetna
Support open enrollment coordination and benefits compliance requirements
Track benefits eligibility timelines and life event changes
Manage and track all leaves of absences (FMLA, STD, LTD, state leave laws)
Administer LMS access and support labor law compliance initiatives
Recruiting & Hiring Support
Post approved job openings to designated job boards and systems
Coordinate interview scheduling between candidates and hiring managers
Communicate with candidates regarding next steps in the hiring process
Prepare offer letters and internal change letters for HR leadership review and approval
Coordinate background checks and track completion
Terminations & Offboarding
Execute HR offboarding processes following termination approval
Coordinate return of company equipment, including laptops and phones
Notify IT, Payroll, HR leadership, and other relevant stakeholders of terminations
Initiate COBRA notification requests and provide employees with information regarding continuation of Life, LTD, and STD benefits
Ensure employee records are properly updated and documented following termination
QUALIFICATIONS
· 2+ years of HR administration, HR operations, or benefits administration experience
· Degree in human resources management or similar or equivalent combination of education and experience
· Strong working knowledge of HRIS systems (ADP experience strongly preferred)
· Experience with benefits administration and vendor coordination
· High attention to detail with strong documentation and compliance focus
· Ability to manage multiple workflows and deadlines with accuracy
· Strong communication and organizational skills
· Ability to handle sensitive and confidential information with discretion
