Work Schedule: 35 hours per week, Regular Full Time (8:30am - 4:30pm)

Pay Type: Salary $50,000 - $55,000

Exemption Status: Non - Exempt

Position Overview

We are seeking a bilingual (English/Spanish), detail-oriented professional with strong proficiency in Microsoft Word and Excel to join our team. The ideal candidate will be able to work independently and support a wide range of administrative and programmatic functions. The role will also collaborate with the Program Director to build and maintain partnerships with city-wide agencies. Additional duties include preparing and submitting volunteer stipend check requests to Accounts Payable, reconciling stipend checks with internal spreadsheets, and distributing checks to volunteers on a bi-weekly basis. The candidate will coordinate activities with other Henry Street Settlement (HSS) departments and divisions.

Qualifications:

Associate's degree required; bachelor's degree preferred

Bi-lingual English/Spanish required

Strong writing, organizational and communication skills

Detail oriented

Strong interpersonal and communication skills

Must be able to work independently

Proficiency in Microsoft Word and Excel

Ability to travel within the 5 boroughs

Responsibilities:

Manage general administrative duties: answering phones, fax, coordinating mail to and from main office and communicating with station supervisors as needed

Submit volunteer stipend check request to accounts payable, reconcile stipend checks against spreadsheets and distribute to volunteers on a bi-weekly basis

Coordinate with other Henry Street Settlement (HSS) departments and divisions

Attend quarterly supervisor meetings and record minutes

Maintain hard copy and electronic volunteer records: program applications, care plans, letters of agreement, annual appraisal, annual income review

Correspond with current volunteers: send application packets to prospective volunteers; check references; schedule new volunteers for orientation training, record all volunteer hours in excel spreadsheet & electronic database

Assist Program Director with new volunteer trainings and assist in training development

Along with Program Director, develop and implement in-service training courses, education events, cultural tours, health workshops etc.

Conduct biannual surveys and work with volunteers to receive client feedback on volunteer performance

Send monthly client training reminders and other mailings as needed

Liaise with Advisory Council regarding quarterly meeting reminders and minutes

Act as task supervisor and oversee SCP and SYEP interns

Work with Program Director to collaborate with city-wide agencies for partnerships

Assist with community outreach for recruitment and to raise program awareness

Participate and assist with event planning- in relation to two major annual volunteer Recognition Events

Assist with communication and ongoing training of site supervisors to establish program guidelines and responsibilities.

Other related duties as assigned by Program Director or Senior Director

Essential Physical Job Functions:

Must be able to travel within the five boroughs via public transportation

Must be able lift and carry 15lbs
