Job Description

A condo located on Longboat Key is seeking a an organized Community Association Administrator to serve in the administrative office. In this role, the Community Association Administrator will support the Property Manager and Board of Directors, managing everything from resident communications (using PayHOA) to financial records (QuickBooks Online) and vendor coordination.

This is a perfect opportunity for an administrative professional who loves variety, technology (including AI tools!), and building relationships with residents.

Key Responsibilities:

Office Management: Serve as the primary liaison for residents, manage office emails/phones, and maintain electronic records.

Financial Administration: Process vendor invoices, manage payroll, and assist with quarterly tax/audit prep using QuickBooks Online.

Tech & Innovation: Utilize AI tools to enhance office efficiency and manage community-wide communications via PayHOA.

Operations: Coordinate maintenance vendors, manage gate access, and conduct weekly inspections of vacant units.

Board Support: Prepare Board packets, attend meetings, and transcribe minutes.

On-Call: Participate in an on-call rotation with the Property Manager to handle after-hours emergencies.

Qualifications:

Proficiency in Microsoft Office 365 and QuickBooks Online is required.

Experience with PayHOA or similar association software is a major plus.

Willingness to use AI to streamline administrative tasks.

Eligible to obtain a Florida CAM License within 12 months (we support growth!).
