Positions Summary:

We are seeking a highly skilled Executive Assistant to support the C-suite executive team. Reporting to the VP, Head of Operations, this individual will serve as a key partner in driving efficiency, strategic calendar management, cross-functional coordination, and operational excellence across the executive suite and senior leadership team. The ideal candidate will have a proven track record of supporting senior executives in a fast-paced, high-growth environment and will demonstrate exceptional judgment, discretion, and organizational skills.

Key Responsibilities:

Provide administrative support to the C-Suite executive team, including calendar management, travel management, expense reporting, and meeting coordination

Responsible for coordinating logistics for Board and Scientific Advisory Meetings including scheduling meetings, securing meeting space and catering, along with issuing calendar invitations and tracking attendance

Plan and execute company-wide events, team building initiatives, and major milestone events

Act as the primary point-of-contact for office visitors

Manage and maintain kitchen and office supplies

Assist with planning and execution of company website updates and social media content

Maintaining conference trackers and ensuring we have representation at important conferences

Other duties as assigned to support the team and general officeneeds

Required Qualifications:

5+ years professional administrative support experience with a minimum of 2 years of supporting executive/C-level leaders

Must have experience working in a small biotech/start-up environment

Proficiency with videoconferencing (Zoom) and Microsoft Office Suite (Outlook, PowerPoint, Word, Excel, Teams)

Effective organizational and time management skills

Excellent written and verbal communication skills

Experience with Canva or similar tools to support social media efforts

Ability to manage multiple tasks and shift priorities when necessary

Ability to be flexible, innovative, approachable

Maintains a level of self-motivation, positive attitude, exhibits good judgment and problem-solving skills, and contributes to the betterment of current processes

Possesses strong interpersonal skills, self-awareness, empathy, professionalism, resourcefulness

Ability to have diplomacy and discretion as this position is often privy to confidential information

Ability to work independently as well as collaboratively

Operates with a sense of urgency, and has excellent follow-through on tasks

Willing to be a valuable contributor to our company's culture

The team seeks to have onsite company support 5 days a week. Candidate will occasionally need to work remotely and/or outside normal business hours

$85,000 - $105,000 a year
