Are you a detail-driven problem solver who thrives in a fast-paced, creative environment?
We're looking for an Operations Executive to be the backbone of our New York office, keeping everything running smoothly, connecting teams across the business, and supporting leadership at the highest level.
In this pivotal role, you'll work hand in hand with the Senior Head of Business Operations and provide direct support to the President & Managing Director. You'll be the go-to person for all things office management, database coordination, event logistics, and internal communications, ensuring our operations stay one step ahead at all times.
What You'll Do
Keep the Office Running Like Clockwork
Manage the day-to-day operations of our New York office, including scheduling, travel, vendor coordination, and supplies.
• Support the President & Managing Director with calendar management, travel logistics, and executive administration.
• Prepare agendas, record notes, and track action items for weekly team meetings.
• Keep the office calendar up to date with key events, client milestones, and cultural happenings.
• Maintain an organized digital environment, ensuring our company server and subscriptions are always current.
Lead Our Database Excellence
Take ownership of our U.S. office database, ensuring it's accurate, current, and aligned with global systems.
• Drive forward database improvement projects, coordinate with international teams, and lead staff training sessions.
• Research and enrich our contact lists across Press, VIPs, and Vendors, ensuring our outreach stays ahead of the curve.
• Oversee user access, security credentials, and the weekly database upload process.
Support Marketing and Brand Consistency
Make sure the team has the tools to represent our brand, from business cards to updated email signatures.
• Coordinate quarterly newsletters and internal communications.
• Help introduce new digital tools that strengthen collaboration and visibility across the company.
Bring Our Events to Life
Curate VIP guest lists and coordinate invitations for key events and company gatherings.
• Support the planning of client and internal events, from elegant dinners to festive celebrations.
• Ensure every event reflects our brand and attention to detail.
Be the Glue that Holds it All Together
Collaborate with colleagues across departments and offices to share best practices and keep operations seamless.
• Represent the company at industry events as a professional and informed ambassador.
• Take on new challenges as assigned, with creativity, initiative, and enthusiasm.
What You Bring
2+ years of experience in administrative or executive support. Experience in fine arts, design, architecture, or fashion is a plus.
• Exceptional organizational and communication skills, both written and verbal.
• Tech-savvy with Microsoft Office, Adobe Acrobat, and ideally Launchmetrics or InDesign.
• A proactive, solutions-oriented mindset and the ability to work independently or as part of a close-knit team.
• Familiarity with QuickBooks or basic accounting is an advantage.
