The Enrollment Processor/Administrative Assistant greets and assists all visitors and prospective students who come into contact with the office of Admissions providing a positive, professional first impression for these guests, and to convey a sense of customer service to staff and visitor alike. The Enrollment Processor/AA is responsible for providing administrative support to office of Admissions and External Affairs including maintaining inquiry and high school data base for the office of Admissions, as well as creation of all permanent academic and financial aid folders, as well as auditing to ensure compliance.

WHAT YOU WILL BE DOING:

Responsibilities include, but are not limited to:

Staff the office of Admissions front desk.

Answer incoming phone calls and forward them to the appropriate person, take complete and accurate phone messages.

Record pertinent information as it pertains to the admissions process, accurately entering data into the Admissions database.

Convey general information to applicants and prospective students.

Provide support to External Affairs processes.

Knowledge of internal mail processing. Prepare informational packets for mailing.

Update name, address, and telephone changes in the computer data files accurately.

Enter daily inquiry card information into the lead tracking system.

Create all permanent academic and financial aid folders as well as computer system records daily.

Ensure that academic records are properly maintained; files are updated, kept in order, and adhere to state, federal and accreditation regulations.

Assist with processing incoming high school and college transcripts.

Submit college transcripts for transfer credit review.

Submit files for advising and registration.

Assist department in preparing for class start with documents needed and inputting HOLDS as needed for incomplete academic files.

Ensure all inquiries are entered into system real time manner.

Enter all applicants into the Admissions database according to required guidelines. Assist with keeping database clear from duplicate entries.

Schedule tour requests from prospective students and arrange hotel reservations. Confirm that the tour guides arrive at specified time

Complete all assigned daily duties on a daily basis, and all others in a timely manner

Adhere to departmental dress codes; Department regulations for appearance and dress take precedence over campus-wide dress codes.

Assisting on Special Events Registration and Set up Parker Power Weekend and Parker Preview Day is mandatory.

WHAT YOU WILL NEED:

EDUCATION/EXPERIENCE:

High School Diploma required; Associates degree preferred.

General office experience including multi-line phones.

Proficient with MS Office 2010.

Experience with Jenzabar and/or Velocify, preferred.

JOB REQUIREMENTS:

Excellent attendance and punctuality; pleasant and positive telephone technique; patience with repetitive questions; constant friendly, helpful attitude.

Thorough knowledge of office practices and procedures.

Professional demeanor and appearance.

Ability to work efficiently and be detail oriented and organized, with minimum supervision.

PHYSICAL REQUIREMENTS:

Visual acuity to use a keyboard and view a computer terminal. Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp.

May require ordinary ambulatory skills sufficient to visit other locations; or the ability to stand and walk.

Ability to occasionally lift, carry and/or move light to medium weight up to twelve (12) pounds and/or exert up to twelve (12) pounds of force.
