Position Overview
The File Clerk supports the workers' compensation legal team by maintaining accurate, organized, and up-to-date client files. This role is essential to the smooth operation of the office and ensures that case materials are readily accessible, properly indexed, and handled with strict confidentiality.
Key Responsibilities
Create, organize, and maintain physical and electronic client files
Scan, label, and upload documents into the case management system
File incoming correspondence, medical records, pleadings, and discovery materials
Retrieve files and documents for attorneys, paralegals, and support staff as requested
Ensure documents are correctly indexed and filed according to office procedures
Assist with file audits to ensure completeness and compliance with office standards
Prepare files for hearings, depositions, or trial as needed
Archive closed files in accordance with retention policies
Maintain confidentiality and comply with HIPAA and other privacy requirements
Perform general clerical tasks such as copying, mailing, and data entry Qualifications
High school diploma or equivalent required
Prior experience in a law office or clerical role preferred
Familiarity with workers' compensation terminology is a plus, but not required
Strong organizational skills and attention to detail
Ability to manage high volumes of paperwork accurately and efficiently
Basic computer skills, including document scanning and file management systems
Ability to follow established procedures and work independently
Professional demeanor and strong sense of confidentiality
