Job Description
We're seeking a highly organized, resourceful, and proactive Administrative Assistant to serve as the backbone of our fast-paced office, providing essential support to the office manager and team of 15 therapists. You will perform clerical and administrative functions, providing vital support that allows our clinicians to focus on changing lives every single day.
Responsibilities:
Report to the office manager for daily updates, and any issues requiring attention.
Greet visitors, directing inquiries appropriately.
Manage and help staff navigate calendar and help with scheduling issues.
Handle incoming/outgoing correspondence (emails, memos, letters).
Help prepare reports, flyers, presentations, and maintain filing systems
Manage office supplies and assist with vendor relationships.
Assist with data entry, letter drafting, invoicing, medical billing, and basic bookkeeping tasks.
Support staff with general clerical duties and company systems.
Develop and implement organized filing systems.
Perform all other office tasks.
Qualifications:
Previous experience in office administration or other related fields
Proficiency in MS Office Suite (Word, Excel, PowerPoint)
Ability to prioritize, multitask and work independently
Excellent written and verbal communication skills
Strong attention to detail
Strong organizational and time management skills
Resourceful problem-solver
High school diploma or equivalent
