KEY JOB RESPONSIBILITIES

Responsibilities include but are not limited to:

Managing the military records maintenance program: (i.e., assists in establishing procedures for security, maintenance & storage of confidential records.

Assists in establishing procedures & schedules for imaging, coordinates with Management Information Technology (MIT) department for secure transfer to Department of Veterans Services (DVS) server, verifies accuracy of data base.

Responds to requests for documents from members of the public (e.g., veterans, funeral homes, County Veteran Service Offices, veteran organizations, federal & state agencies/offices, & individuals providing appropriate authorization);

Prepares letters of verification of military service; provides requestors with alternate contact information for obtaining copies of records; ensures adherence to agency policy, federal, state & local laws related to privacy & confidentiality.

Provides advice and consultation on confidential document management to department administrators, government officials or private agencies & other department personnel. Provides information briefings to county veteran service officers as required.

Provides routine administrative support: (e.g., composes correspondence & prepares outgoing mail utilizing the Microsoft Office platform; assists with mailing projects; prepares reports as assigned; copies, files, emails, &/or faxes materials); performs other duties as assigned.

Formal education in English & arithmetic that includes reading & writing common vocabulary & fractions, decimals & percentages; 1 course or 3 mos. exp. in records management; 1 course or 3 mos. exp. in public relations or business communications with emphasis on writing letters & oral communication. -Or equivalent of Minimum Class Qualifications for Employment noted above.
