We are seeking a reliable, thoughtful, personable, and highly professional Administrative Assistant to join our mental health clinic.

This role is central to the smooth operation of the clinic and provides direct support to the clinic owner and care team.

The ideal candidate is warm & friendly, discreet, proactive, organized, a great problem-solver, and committed to maintaining a calm, respectful environment for both clients and staff.

Green Leaf Psychological is a private psychology clinic located in downtown Halifax, Nova Scotia providing high-quality mental health services for individuals, couples, adolescents, and children.

Our team of psychologists and counsellors offers evidence-based therapy and comprehensive psychological assessments for a wide range of concerns including anxiety, depression, relationship challenges, ADHD, learning disorders, and more.

We offer in-person and virtual services at our centrally located Halifax office and flexible appointment options.

Key Responsibilities

Provide ongoing administrative support to the clinic owner

Respond to client and associate inquiries professionally via email and other communication channels

Schedule, reschedule, and manage appointments efficiently and accurately

Process payments and assist with billing-related follow-ups

Track, follow up, and resolve billing or administrative issues in a timely manner

Maintain accurate records and documentation while ensuring strict confidentiality

Support day-to-day clinic operations and assist with additional administrative tasks as needed

Qualifications and Skills

Strong work ethic with the ability to take initiative and excellent ability to exercise sound judgment

High level of professionalism; able to maintain confidentiality at all times (essential in a mental health setting)

Discreet and respectful - able to handle sensitive information without gossip or breach of trust

Very strong written and verbal communication skills

Strong interpersonal skills with a calm, empathetic, and respectful approach

Ability to learn quickly with a positive, adaptable attitude

Well-organized with strong attention to detail and follow-through

Comfortable managing multiple tasks and shifting priorities

Strong proficiency with email, scheduling systems, and payment or billing platforms (training provided as needed

Undergraduate degree in psychology or related field

Additional Assets

Previous administrative or clinic experience (healthcare or mental health setting an asset, but not required)

Familiarity with billing processes or insurance coordination

Advertising and promotional experience

Staff recruitment experience

SEO and basic website maintenance skills
