Summary/Objective:

The Accounting Assistant (AR) is responsible for ensuring the timely collection of revenue by processing customer deposits, following up on outstanding payments, and reconciling customer accounts to maintain accurate financial records.

Essential Functions:

Deposit Processing: Prepares, verifies, and processes daily bank deposits, ensuring all customer payments (cash, checks, or electronic payments) are accurately recorded in the financial system.

Payment Follow-up: Monitors aging reports and proactively contact customers via phone and email to follow up on overdue balances and ensure timely collections.

Customer Reconciliation: Reconciles customer accounts by reviewing monthly statements and transaction history to resolve discrepancies, short payments, or unapplied payments.

Vendor/Customer Liaison: Serves as a primary point of contact for customer billing inquiries, providing professional and timely resolution to account disputes.

Ledger Maintenance: Maintains accounts receivable ledgers by verifying and posting account transactions and adjustments.

Record Keeping: Maintains accurate historical records by scanning and organizing deposit backups and collection correspondence according to retention guidelines.

Financial Safeguarding: Protects the organization’s financial integrity by maintaining strict confidentiality and adhering to internal controls.

Qualifications

COMPETENCIES:

Strong attention to detail and high level of accuracy in data entry.

Effective verbal and written communication skills.

Proficiency in mathematical calculations and numerical analysis.

Strong computer proficiency, including Microsoft Office (Excel) and accounting software.

Strong follow-up skills and persistence in resolving payment issues.

WORK ENVIRONMENT:

While performing the duties of this job, the employee regularly works in an office environment and is regularly exposed to a computer monitor and office equipment.

PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

This is a largely sedentary role, with prolonged periods sitting at a desk or computer; however, filing may be required. This would require the ability to lift files, open filing cabinets and bend or stoop, as necessary. This position may require the ability to occasionally lift office products and supplies, up to 20 pounds.

POSITION TYPE:

This is a full-time, non-exempt position. Standard workdays are Monday through Friday, 8:00 AM to 5:00 PM.

EDUCATION & EXPERIENCE:

Bachelor’s degree in Accounting or Finance preferred.

One to two years or more of related experience preferred.

Demonstrates an understanding of general accounting practices.
