Gokudo Shabu Shabu Hotpot (Burnaby) is a well-established Japanese hotpot restaurant located on Kingsway, Burnaby, just a 5-minute walk from Crystal Mall. We are recognized in the Vancouver area for our 18+ unique soup bases, diverse combinations of premium meat, seafood, and vegetables, and an abundant variety of side dishes.
As our organization continues to grow, we are seeking an Executive Assistant to provide administrative and coordination support to our management team. The Executive Assistant provides day-to-day administrative and organizational support to ownership and management. This role assists with office coordination, document preparation, internal communication, and basic operational reporting to support the administrative and coordination aspects of daily restaurant operations and to assist management with administrative coordination related to business development and long-term operational planning.
Salary: $36.60 per hour

Responsibilities and Duties:
- Coordinate and maintain administrative procedures, records, and filing systems related to restaurant operations, staffing documentation, and compliance
- Review, organize, and distribute incoming and outgoing correspondence, operational reports, invoices, and business documents
- Prepare basic summaries, reports, and presentation materials for internal management meetings
- Assist in scheduling management and staff meetings, preparing agendas, arranging logistics, and tracking follow-up action items
- Collect and compile operational, staffing, and basic financial data (e.g. sales summaries, labor hours, inventory usage) for internal reporting
- Serve as an administrative communication link between ownership, the Restaurant Manager, suppliers, and external service providers
- Assist with communications with landlords, food suppliers, equipment vendors, and maintenance contractors, as required
- Support coordination of onboarding documentation, training records, and staff files.
- Provide general office administration and coordination support to ensure smooth daily operations
- Support internal projects related to staffing, compliance documentation, and business development activities
- Support preparation and coordination of documentation for financing, leasing, and regulatory matters related to business development
- Assist management with administrative coordination related to business development initiatives and long-term operational planning
Requirements:
- Bachelor’s degree is required.
- Minimum of one year experience administrative or executive assistant experience, preferably in a restaurant or hospitality environment or hospitality environment.
- Experience in reporting, documentation compliance, and vendor coordination is an asset.
- Strong organizational, analytical, and problem-solving skills.
- Excellent written and verbal communication skills in English.
- High level of professionalism, discretion, and attention to detail.
- Ability to manage multiple priorities and work independently in a fast-paced environment.
- Proficiency in Microsoft Office and general office management systems.
