Position Summary

We are seeking a warm, organized, and highly professional Patient Intake Specialist / Administrative Assistant to serve as the first point of contact for individuals seeking mental health and addiction recovery services.

This role combines client intake coordination with front-office administrative support. Ideal candidates not only can verify insurance eligibility, coordinate benefits coverage, and ensure documentation compliance, they can communicate with compassion, stay calm under pressure, and thrive in a potentially fast-paced, service-oriented environment.

Key Responsibilities

• Serve as the first point of contact for client inquiries, referrals, and walk-ins

• Conduct screening calls and schedule assessments for IOP, PHP, Residential 3.1, and Telehealth services

• Verify insurance benefits using payer portals (e.g., Availity, Etactics, Medicaid systems) and assist with required intake documentation

• Confirm behavioral health benefits, service limitations, and authorization requirements across Medicaid and commercial payers.

• Document coordination of benefits (COB) and third-party liability (TPL) in compliance with payer and state regulations.

• Communicate benefit limitations and authorization needs to clinical and billing teams.

• Maintain accurate records in the EHR system

• Support administrative tasks, including scheduling, file management, and phone coverage

• Assist clients with telehealth setup and appointment reminders

• Ensure compliance with HIPAA, CARF, and OhioDBH standards

What We’re Looking For (Required)

• Strong customer service and communication skills

• Ability to multitask and stay organized

• Experience in a behavioral health, medical, or social services setting

• Basic proficiency with computers and office software

• Understanding of confidentiality/HIPAA

Preferred

• Experience verifying Ohio Medicaid or commercial insurance

• Familiarity with CARF or OhioDBH standards

• Prior intake or admissions experience

• Comfort working in a faith-informed environment
