The Role

The Appointments Coordinator is the first point of contact for patients calling our clinic. You’ll book appointments, manage the daily phone and front-desk flow, process electronic faxes, and work in our Electronic Medical Record (EMR) system to keep information accurate and up to date.

What you’ll do

Answer phones and emails; book, reschedule, and confirm appointments

Navigate our EMR (Plexia) to update demographics, messages, and tasks

Process and file incoming electronic faxes and referrals

Support the front desk (check-ins, forms, general inquiries)

Maintain patient confidentiality and a calm, professional tone

Pitch in with other administrative tasks as needed

What you bring

Very comfortable with computers and learning new software

Excellent communication and customer-service skills

Organized, reliable, and punctual; able to juggle multiple tasks

Team player who stays calm under pressure and solves problems

Commitment to confidentiality and respectful patient care

Nice to have (an asset, not a must):

Experience in a medical office or call-centre setting

Familiarity with EMRs (Plexia experience a plus)

Typing/ data entry accuracy and speed

Training & Support

We provide on-the-job training in our workflows and EMR. You’ll be supported by a collaborative admin team and clinic leadership.
