Job Title: Administrative Assistant
Location: Springville, UT (on-site) Reports To: Chief Operations Officer (COO)
Position Summary The Administrative Assistant provides day-to-day administrative and clerical support to keep the office organized, efficient, and welcoming. This role supports leadership and team members by managing schedules, coordinating communication, organizing records, and assisting with routine business operations. The ideal candidate is dependable, detail-oriented, and comfortable supporting multiple priorities in a fast-paced environment.
Key Responsibilities
Greet visitors and provide professional customer service in person, by phone, and by email
Manage calendars, schedule meetings, and coordinate travel arrangements
Prepare, format, proofread, and edit correspondence, reports, and presentations
Maintain organized digital and physical filing systems
Assist with data entry, record keeping, and database updates
Process incoming and outgoing mail, packages, and deliveries
Order and maintain office supplies and inventory
Support onboarding paperwork and employee documentation as needed
Coordinate meetings, prepare agendas, take notes, and distribute summaries
Assist with invoice processing, expense tracking, and basic bookkeeping tasks
Maintain confidentiality of sensitive company and employee information
Communicate with internal departments and external partners as needed
Track deadlines, reminders, and follow-ups to ensure tasks are completed on time
Perform other administrative duties as assigned to support office operations
Qualifications
High school diploma or equivalent; associate’s degree preferred
1–3 years of administrative or office support experience preferred
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Proficiency in Microsoft Office and/or Google Workspace
Ability to prioritize multiple tasks and meet deadlines
Professional, courteous, and dependable demeanor
Ability to work independently and collaboratively
Commitment to confidentiality and discretion
Schedule
Full-time (Monday–Friday)
Standard business hours; occasional overtime may be required during busy periods
