Learning & Development Program Coordinator

Summary

Provide high-quality, detail-oriented support for learning and development programs, with a focus on fostering belonging and connection among cohort participants. Responsible for consistent communication, monitoring engagement and progression, and celebrating participant milestones.

Education & Experience

Bachelor’s degree in a relevant field or equivalent experience/training required

5–7 years of related experience required

Responsibility Level

Exercises independent judgment with direction from supervisor

Works independently to manage time and competing priorities across multiple programs

Skills & Qualifications

Communication: Strong verbal, written, and interpersonal communication skills (Required)

Attention to Detail: High attention to detail and follow-through; escalates risks and exceptions appropriately (Required)

Judgment and Prioritization: Demonstrates sound judgment in prioritizing participant and program needs, with a proactive approach to cohort care (Required)

Program Management: Works independently to manage time and competing priorities across multiple programs (Required)

Customer Service: Excellent customer service, especially in cross-cultural, technical, or executive-facing environments (Required)

Curriculum & Training Knowledge: Understanding of curriculum and training design, instruction methods for individuals and groups, and measurement of training effectiveness (Required)

Business and Management Acumen: Knowledge of strategic planning, resource allocation, HR modeling, and leadership techniques (Typically required)

Media & Communication: Familiarity with media production and dissemination techniques (Required)

Collaboration: Ability to coordinate across multiple time zones, vendors, and internal teams (Required)

Behavioral Insight: Knowledge of human behavior, individual differences, learning, motivation, and psychological research methods (Typically required)

Technical Proficiency: Experience with Microsoft Word, PowerPoint, Excel, SharePoint, and Forms (Required)

Major Job Duties & Responsibilities

Cohort Care

Schedule cohort events, team meetings, and training sessions

Coordinate in-person logistics (e.g., room bookings, badges, catering, AV setup)

Manage licensing and setup for in-session interaction tools (e.g., Slido)

Liaise with external partners on scheduling, rosters, housing, and travel

Encourage participants to use AI resources for FAQs

Participant Lifecycle Management

Maintain rosters, status tracking, and dashboards for all programs

Confirm attendance and travel readiness for residential sessions

Track completion of program requirements (assessments, certificates, release forms)

Upload/distribute digital badges and certificates using VirtualBadge.io

Communications & Stakeholder Support

Draft/send communications to participants and managers (reminders, deadlines, guidance)

Respond to inquiries from participants, mentors, and managers professionally and timely

Manage content and updates on Microsoft Teams channels and SharePoint

Record meeting notes, action items, and follow-ups

Data & Reporting

Maintain/update Excel trackers and dashboards (participation, costs, progression)

Coordinate with Employee Development and Finance (cost codes, tuition, travel caps)

Prepare materials for leadership updates, kickoff decks, and cohort feedback summaries

Feedback & Recommendations

Share monthly observations and recommendations for process/program improvements with supervisor

Collect informal feedback from participants about program experiences

Summarize recurring questions and areas of confusion regarding resources
