Overview
We are seeking a detail-oriented and polished Administrative & Communications Assistant to support a series of international programs and communications projects. This role is ideal for someone with excellent writing skills, strong organization, and the ability to manage multiple moving pieces with accuracy. Prior experience with international travel or global programs is a plus.
You will support program leadership with drafting correspondence, gathering materials from selected applicants, preparing itineraries, and assisting with the close-out of an annual application cycle.Key Responsibilities
Draft professional correspondence, including applicant status notifications, invitation and thank-you letters for participating faculty, and congratulations letters for new leaders
Collect required documents from selected scholars and format biographies for promotional use
Research hotel options for visiting scholars and observer trips
Draft itineraries, delegation schedules, and related travel documents
Assist with communications to exchange program applicants and help close out the 2026 application cycle
Support administrative components for implementing 2026 international exchange programs
Prepare and send partner and leadership-change correspondenceRequired Skills & Qualifications
Proficiency in Microsoft Office Suite: Word, Excel, PowerPoint, Outlook, Teams
Exceptional attention to detail and organizational skills
Strong written and verbal communication abilities
Ability to handle sensitive communications with professionalism
International travel experience or familiarity with global programs (preferred)
Ability to work independently and use your own laptop for all work
