Virtual Assistant - Job Description

I am seeking a proactive, reliable, and detail-oriented Virtual Assistant to support administrative and communication-related tasks. This role will start at 10-20 hours per week, with the potential to expand as responsibilities grow. Candidates must be available to work East Coast hours between 9:00 AM - 6:00 PM.

Key Responsibilities

Administrative & Calendar Management

Manage and maintain multiple Google Calendars, appointments, and scheduling requests.

Handle repetitive administrative tasks with accuracy and consistency.

Maintain organized digital files, folders, and documentation.

Deliver assignments on time with a high level of precision.

Communication & Member Engagement

Monitor and respond to messages across Gmail, Slack and WhatsApp (including 20+ channels).

Draft professional communications and ensure timely follow-ups.

Coordinate outreach and engagement with members.

Support recruitment and retention initiatives.

Project & Operations Support

Assist with coordination and execution of events, meetings, and ongoing initiatives.

Track project progress in Trello and keep tasks updated.

Conduct research as needed to support decision-making.

Manage databases, spreadsheets, and CRM entries.

Tools & Platforms

The ideal candidate must be proficient in:

Trello (task tracking, updating boards, managing workflows)

Zoom (attend weekly calls, set up of calls, send out call invites, update invites)

Google Suite (Sheets, Docs, Slides, Calendar, Drive)

Slack (monitoring channels, creating channels, responding promptly)

WhatsApp (consistent monitoring and replying to multiple groups)

Microsoft Excel

CRM

Basic comfort with online business tools and communication platforms

Qualifications

Experience working directly with executives.

Strong written and verbal communication skills.

Exceptional attention to detail and accuracy.

Ability to work independently once given instructions.

Comfortable asking questions when clarification is needed.

Highly organized with excellent time management.

Able to handle repetitive tasks without needing repeated direction.
