Job Specification - Purchase Ledger Clerk

Location: Lowestoft

Salary: Up to £30,000 (DOE)

Overview

Our client is seeking a Purchase Ledger Clerk to join their finance team. The successful

candidate will be responsible for maintaining the company's purchase ledger, ensuring

accurate and timely processing of invoices, resolving queries, and supporting financial

operations. This role is ideal for someone who is detail-oriented, organised, and

experienced in finance administration.

Key Responsibilities

Purchase Ledger Management

- Set up and maintain supplier accounts.

- Input and process purchase invoices.

- Monitor and manage the automated invoice processing queue.

- Progress invoices where no purchase order has been raised.

- Match purchase invoices to purchase orders and follow up discrepancies with

budget holders.

- Follow up unapproved goods/services with relevant staff.

- Reconcile supplier statements and request missing invoices.

- Prepare weekly BACS payment runs.

- Manage updates or changes to supplier details.

- Return incorrect invoices with appropriate explanation.

- Handle supplier queries efficiently and professionally.

- Resolve internal staff queries relating to invoices, approvals, or purchase orders.

- Administer the purchase order system.

- Respond to internal and external audit queries.

- Produce ad-hoc financial reports as required.

Person Specification

Qualifications

- NVQ/AAT in Accounting or equivalent relevant experience.

- Strong IT skills including spreadsheets, word processing and email.

Experience

- Previous experience within a finance function.

- Experience working as part of a team.

- Demonstrated experience posting financial transactions in accounting systems.

- Previous purchase ledger experience.

- Experience working in a multi-disciplinary team.

- Wider experience in other areas of finance.
