We have an immediate opening for an Operations Manager to join our team in Margate, Florida. The schedule is Monday through Friday, from 8:00AM to 5:00 PM, and must have the ability to travel between all IVF Florida locations as business needs require.
How You'll Contribute:
We always do whatever it takes, even if it isn't specifically our "job." In general, the Operations Manager is responsible for:
Assists in the development of an annual budget and is responsible for achieving budgeted levels for revenue and
profitability
Review and approve expenses in the accounts payable system
Responsible for patient relations including triaging complaints and concerns, responding to electronic survey results,
and ensuring concierge level service
Schedules and plans staff social events, meetings, and educational sessions
Prepare monthly dashboard including financial, marketing, productivity, and outcomes measures
Responsible for the oversight of marketing programs to grow the market share and for ensuring that practice has
appropriate and up-to-date information on market environment to enable effective responses to threats or
opportunities
Responsible for ensuring the assigned departments have an efficient and effective infrastructure, including
information systems, billing and collection support and so forth, to support current operations and planned growth
Travel between IVF Florida locations, including overnight travel to Jacksonville and offsite meetings
Assist with the oversight of the development of annual market plan and budget
Assist as opportunity and circumstance permit in identifying new opportunities for profitable expansion in the service
area
Oversee as required the recruitment, selection, retention, training, and supervision of practice personnel in assigned
departments to ensure the delivery of the highest quality services, to maximize profits, and to minimize turnover
Oversee that there is compliance with all aspects of US Fertility Administrative Policies and Standard Procedures
Assist, support, and manage as required, efforts to ensure that the Practice operates in full and complete compliance
with all applicable Federal, State and Local laws and regulations
Assists ED in controlling budgeted overhead and addressing any inefficiencies of the practice
Maintains practice operations by initiating, coordinating, and enforcing practice operational policies, procedures, and
HIPAA & safety standards
Oversees the maintenance and growth of the practice with regards to facilities management, identification of new
office space, planning & development of new sites/buildings and assisting with interior design
Assists in evaluating and performing process improvement efforts yielding better workflow, higher IVF throughout,
and more mistake-free processes
Oversees and maintains the coordination, communication, and overall operations among satellite offices
Participates in risk management and administration
Monitors scheduling and assignment of employee job responsibilities and follows up on work results
Participates in the external audit process such as laboratory, OR/PACU credentialing and licensure processes (e.g.
Joint Commission, AAAHC, CLIA, OSHA, etc.) Ensures compliance for all offices with all state and federal
requirements
Conducts annual performance evaluations in accordance with Company policies
Participates in the Quality Improvement Committee as appropriate
Addresses patient complaints and responsibility for patient satisfaction program
Maintains a safe and clean working environment
Participates as required in negotiations between the Practice and all vendors and service contractors to ensure the
highest level of return for the practice consistent with services rendered
Directs all ordering and distribution of all office and patient services supplies
Performs staffing and productivity analysis on a routine basis to ensure appropriate staffing levels
Additional responsibilities as deemed necessary by the ED
Direct responsibility for all non-clinical departments
What You'll Bring:
The skills and education we need are:
BA degree in Business Administration or other relevant field required
Minimum 5 years experience in healthcare industry required with prior experience in running a comparable size
medical/physician practice
Minimum 5 years Supervisory/Management experience with experience in hiring, conflict resolution, financial
responsibilities such as preparing budgets, policy writing, etc.
Computer proficiency required
Strong financial background such as a background with developing and maintaining budgets
Excellent interpersonal skills and ability to work as part of a multi-disciplinary team and build and maintain effective
working relationships
Demonstrated expertise in continuous quality improvement, customer service, and team building
Strong customer service and results orientation; highly responsive to requests
Excellent verbal and written communication skills
Proven ability to build and maintain highly effective teams
Ability to work as part of a multi-disciplinary team
