About The Role
As the first and last point of contact for our clients, the Veterinary Receptionist plays a critical role in shaping the Care Pet Clinic experience. You will support our medical team by ensuring smooth scheduling, clear communication, and a welcoming atmosphere for every client and patient.
Key Responsibilities
Warmly greet clients and their pets upon arrival
Manage multi?line phone systems with professionalism and empathy
Schedule appointmentsincluding preventive care, surgeries, and follow?ups
Support forward booking by ensuring clients schedule future visits before leaving
Check clients in/out and process payments accurately
Maintain a clean, organized, and friendly reception area
Communicate clearly with clients regarding wait times, treatment updates, and hospital processes
Enter and update patient information in the medical record
Receive and process prescription refill requests (per clinic protocol)
Assist with over?the?counter product inquiries and client education
Collaborate with DVMs, RVTs, and Assistants to keep hospital workflows running smoothly
Maintain strict confidentiality of client/patient information

Ability to remain calm, empathetic, and professional during stressful or emotional interactions
Strong verbal and written communication
Ability to navigate difficult conversations with compassion and clarity
Administrative & Operational Skills
Strong computer proficiency and comfort learning veterinary software
Accurate data entry and attention to detail
Ability to multitask in a fast?paced clinical setting
Basic understanding of veterinary terminology (preferred)
Ability to follow detailed protocols and hospital workflows

Preferred Qualifications
Previous experience in a veterinary, medical, dental, or customer service role
Experience with appointment scheduling and high?volume client flow
Familiarity with preventive care, vaccines, and general veterinary services
