Your role

The Officer, Research & Project is responsible for managing the day-to-day administrative activities of the TBS’s research activities (including research grants) and strategic projects, as well as assisting in the coordination of the related activities at Saigon South and Hanoi campuses.

The role will be involved in various levels of the project including assisting the project team leader in scheduling activities, contributing to project planning, stakeholder engagement, administration, and implementation and ensuring the project plans are delivered to a high standard.

Reports to: Senior Coordinator, Project

Indirect reports to: Senior Manager, International and Projects

Key Accountabilities

Support for the School’s research grants and strategic projects including coordinating and planning the project, recruiting contingent staff, managing budgetary requirements, reporting the project status to management and documenting project activities. • Assist in maintaining effective communication and collaboration with a wide range of project stakeholders to ensure high-quality coordination across RMIT Vietnam, providing timely and quality advice to academic staff regarding their research grants.

Update and maintain the master project database to monitor and track all TBS-related projects including project schedules, milestones, due dates, and estimates for necessary resources and relevant information.

Assist in administration of TBS’s HDR programs-related matters and activities.

Support in the coordination and logistics arrangements for the School’s research-related activities and events. the

Collaborate with other team members to support the coordination and implementation of TBS Strategic projects and activities.

Support the post-event evaluation and analysis, gathering feedback and identifying areas for improvement.

Assist in the creation of various TBS’s communication channels related to research, while coordinating the production and distribution of research promotional materials, such as brochures, posters, and digital assets. Other duties as directed by the line manager and Senior Manager, International and Projects.

Key Selection Criteria

A relevant Bachelor’s degree and/or significant relevant experience in an administrative role.

Experience in using a range of Microsoft Office Suite programs.

Ability to work effectively with a range of stakeholders across different locations.

Ability to produce and present data via reports.

Team player with the ability to work independently as and when required.

Demonstrated organisational and time management skills with the ability to prioritise effectively and co-manage a wide range of tasks in a proactive manner.

Demonstrated skills in database management and record keeping.

Possess strong verbal and written communication skills in both English and Vietnamese, with the ability to effectively engage with a diverse range of stakeholders.

Ability to display appropriate behaviours in line with the position and RMIT Values

Contract duration: 12 months

English Proficiency

English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS General 6.0 (or equivalent CEST 160).
