The Junior US Benefits Administrator is responsible for the day-to-day administration and support of the company's comprehensive employee benefits programs. This role ensures the accurate processing of enrollments, changes, and terminations while providing essential assistance to employees regarding their coverage. Additionally, the position is responsible for supporting the end-to-end payroll cycle, including the manual processing of data entries, timecard adjustments, and the verification of gross-to-net calculations.

Reporting to the Global Payroll Senior Manager, this role maintains data integrity and compliance within a high-volume environment, ensuring all employee elections and pay records are managed with precision.

Please note that we are looking for someone to join our team on the ground in Ohio. To ensure close collaboration with our US-based office, being locally based is a core requirement for this role.What You'll Do

Expected responsibilities include, but are not limited to, the following:

Payroll Processing & Audit: Support the bi-weekly payroll cycle by managing data inputs, including new hire setups, salary changes, tax withholding updates, and garnishments. Perform rigorous pre-processing audits to verify the accuracy of gross-to-net calculations;

EOR Coordination: Support the monthly bonuses and overtime reporting for Employee of Records;

Benefits Coordination: Oversee the daily administration of health and welfare plans (Medical, Dental, Vision, Life, and Disability). Maintain accurate employee records and ensure timely data synchronization between the HRIS and insurance carriers;

401(k) Plan Administration: Facilitate the administration of the company retirement plan by processing participant loans, monitoring eligibility, and verifying that deferrals and employer matches are funded accurately in accordance with payroll deadlines;

Open Enrollment (OE) Support: Support the annual OE lifecycle by assisting with system configuration, auditing employee elections, and ensuring new premium rates are correctly implemented for the new plan year;

Payroll vendor implementation support: Provide comprehensive support to third-party vendors during the transition and implementation of new payroll systems;

COBRA & Compliance Management: Manage the notification workflow for all qualifying events, ensuring compliance with federal timelines and reconciling monthly premium payments from participants;

Ohio State Compliance: Maintain state-specific requirements, including Ohio Bureau of Workers' Compensation (BWC) documentation and verifying School District Income Tax (SDIT) withholdings based on employee residence;

Vendor & Employee Liaison: Act as the first point of contact for employees and external vendors to resolve pay-stub discrepancies, benefit coverage questions, or file transmission errors;

Finance interaction: Submission and management of PO's and vendor payments and invoices in coordinations with the Finance Accounts Payable team.

Requirements

Payroll & Benefits Literacy: Foundational understanding of US payroll cycles, pre-tax/post-tax deduction logic, and ERISA/COBRA/HIPAA regulations;

Analytical Ability: Strong numerical literacy with the ability to audit financial reports and manually calculate pro-rated premiums or pay adjustments to ensure data integrity;

Advanced MS Excel: High proficiency with VLOOKUPs and Pivot Tables is required for data reconciliation and auditing across multiple systems;

Systems Experience: Prior exposure to integrated HRIS/Payroll platforms (e.g. HiBob, Deel and ADP) is a significant advantage;

Education: Bachelor's degree in HR, Finance, Accounting, or a related field (or equivalent professional experience);

Professional Experience: 1–2 years in a corporate environment. Experience in a role that balances benefits administration with active payroll processing is highly desirable;

Attention to Detail: Maintains a high level of accuracy when managing numerical data and sensitive employee records to prevent financial errors;

Organization & Prioritization: Ability to manage competing priorities effectively in a deadline-driven environment, particularly during "payroll weeks" and Open Enrollment;

Integrity & Discretion: Proven ability to handle sensitive Personal Identifiable Information (PII) and Protected Health Information (PHI) with the highest level of confidentiality;

Effective Communication: A professional and empathetic approach to resolving employee concerns regarding their pay and benefits.
