JOB SUMMARY:

Support the Fleet department in all daily activities. Responsible for the coordination of maintenance and repairs, payroll, invoicing and recordkeeping.

Responsibilities:

Assist in scheduling and coordinating all preventative/emergency maintenance and repairs for all RWA vehicles and equipment

Update and support all Fleet records including registrations, emissions and insurance cards for all RWA Fleet vehicles and equipment including Well Services.

Assist the Fleet Manager in scheduling and coordinating appointments and workorders for all external customers, including calls to customers.

Track and record payments for outside repair services for employees and external customers

Generate UMAX invoices for all outside repairs.

Generate work orders in Dossier fleet maintenance program for RWA vehicles

Generate repair orders and invoices for outside repair services in Alldata program

Process vendor invoices and requisitions accurately and timely, ensuring their proper accounts.

Provide back-up for the Fleet Manager in his absence.

Participates in the on-call rotation to handle after-hours calls for resolution of problems or emergencies.

Keep all files up to date for the Fleet vehicles and equipment.

Assist with budget numbers and tracking for O&M and Capital Budgets.

Compile and organize data for detailed reports utilized by other departments.

Provide telephone coverage to ensure a high level of customer service satisfaction

Provide back-up for Payroll approval.

Handle all customer service inquiries at Fleet Department window including administering pool vehicles

Other duties as necessary to accomplish the strategic initiatives and mission, vision and values of our organization.

QUALIFICATIONS:

Educational Requirements:

Bachelor's degree in appropriate field or equivalent experience preferred

Experience/Skills/Abilities:

Understanding of the Authority's business and safety processes related to Fleet Equipment.

Excellent communication skills verbal and written.

Ability to master applications including UMAX, All Data and Dossier.

Ability to work independently and exercise sound judgment in performing duties.

Ability to organize, gather and analyze data.

Ability to use office software (Access, Excel, Word, Outlook reporting software) and Scribe, SalesPad and GIS system; records-keeping.

Maintain valid Connecticut motor vehicle operator's license.
