This role combines project coordination / project controls with senior level administrative support and requires a highly professional, detail oriented individual who can manage competing priorities with minimal oversight.
The ideal candidate is proactive, organized, and confident working across technical teams, leadership, and external stakeholders.
Key ResponsibilitiesProject Coordination & Controls Support internal and external stakeholders with clear communication throughout the project lifecycleProvide administrative and coordination support to ensure projects meet quality, schedule, and cost requirementsAct as liaison on behalf of the project manager to coordinate activities across engineering, procurement, accounting, field operations, IT, and other groupsSupport project execution activities including scoping, estimating, scheduling, design coordination, bidding, procurement, construction support, and record keepingTrack project costs, including booked and committed costs, and support timely invoice processingAssist with project planning, forecasting, contract monitoring, construction reporting, quality documentation, and project closeoutCoordinate and manage key project documentation such as change orders, drawings, MOCs, and work ordersSupport project closeout and audits, including preparation of closing packets for property accounting and asset recordsSenior Administrative Support: Provide high level administrative support to leadership and cross functional teamsPrepare polished, professional deliverables including communications, presentations, trackers, and reportsCoordinate internal and external communications with professionalism and discretionManage end to end meeting support: preparation, action tracking, follow ups, and deadline managementServe as a central point of coordination for team workflows and prioritiesHandle confidential and sensitive information with sound judgmentIdentify process improvement opportunities and develop templates, trackers, and standard workSupport event coordination as needed (onsite or virtual meetings, trainings, offsites) Required QualificationsExperience supporting project management activities across multiple phases (scoping, estimating, construction, budgeting, closeout)Strong coordination experience across multiple teams and stakeholdersProven ability to manage multiple priorities in high pressure environmentsExcellent written and verbal communication skillsAdvanced proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint)Strong organization, attention to detail, and follow throughHigh level of discretion and professionalism Preferred QualificationsExperience supporting leadership or executive level stakeholdersStrong PowerPoint skills; experience creating executive ready presentationsBackground in project coordination, operations, or process improvementFamiliarity with SharePoint, Planner, Power Automate, OneNote, or similar workflow toolsExperience in engineering, construction, utilities, energy, or capital project environments
