House Program Coordinator – Cleveland Ronald McDonald House

Ronald McDonald House Charities of Northeast Ohio, Inc. (RMHC NEO) is currently seeking a highly motivated individual who possesses passion, compassion, and dedication as a House Program Coordinator for the Cleveland Ronald McDonald House to support the efforts of the RMHC NEO organization. The Cleveland House Program Coordinator reports directly to the Cleveland House Program Director and provides direct assistance to the House Operations Team. This position supports the House Operations Team with administrative and operational functions while collaborating with staff and volunteers to provide excellent service to House guests and visitors and advance the mission of the House. The House Program Coordinator is responsible for coordinating meal preparation volunteer groups.
In the spirit of teamwork, this individual interacts in collaboration with RMHC NEO staff and volunteers to provide support and assistance in the fulfillment of their goals and objectives.
JOB RESPONSIBILITIES:
Conducts all activities in a manner consistent with the Mission, Vision, and Core Values of the organization.
Assists the House Program Director, and the House Operations Team as needed. This includes, but is not limited to, copying, scanning, data entry, bookkeeping, filing, answering phones, sending/receiving/distributing correspondence, and other duties as requested.
Family Services responsibilities:
Conducts monthly room checks with Family Services Manager
Checks out guests, processes room donations, and gives tours to new families
Serves as a resource for volunteers or covers when volunteers are absent
Maintains/updates supplies and information
Ensures common areas are clean, organized, well-stocked, and trash is removed when necessary
Handles day-do-day issues and troubleshoots problems that arise
Maintains consistent presence in the House and front desk area to attend to guest needs, donations, visitors, and questions from volunteers
Assists with collecting family stories and photos for marketing and development purposes
Family Meal Program responsibilities:
Assists Family Meal Program Manager to manage Family Meal Program
Responds to inquiries from volunteer groups (email, website applications, and phone calls)
Schedules/coordinates volunteer groups to prepare meals, per established goals
Greets and provides tours to meal groups and donors
Maintains meal program calendar and all necessary reporting
Engages with families, visitors, and volunteers to make all feel welcome and interacts with them based on their comfort level
Answers main incoming phone line/checks voicemail and responds to, or directs, calls appropriately
Sorts, dates and distributes incoming mail for staff
Assists with House operations bookkeeping and guest data entry, auditing and reporting
Ensures that donations are properly received, including welcoming/thanking the donor, giving tours, taking photos, completing donation receipts (and entering all paper IK receipts into electronic donation receipt form), and organizing/storing donations
Coordinates conference center reservations
Manages REACH media players by regularly updating content and troubleshooting issues. Creates and implements templates and ensures playlists and menus are up-to-date
Serves as administrative coordinator for RMHC NEO Programs Committee, including scheduling, assisting with agenda planning, coordinating activities, taking minutes, and communicating with committee members
Maintains vendor accounts and purchases supplies for the House and administration.
Establishes priorities for managing own work while staying on a focused, efficient path for achieving results
Acts as organizational ambassador and presents a positive image of RMHC NEO
Performs other duties as assigned
SUPERVISORY RESPONSIBILITIES:
May have responsibility for overseeing the work performed by volunteers
EDUCATIONAL REQUIREMENTS & WORK EXPERIENCE:
High School Diploma or GED required. Two or more years of experience in a position working closely with the public, volunteer groups, or supporting a management team is strongly preferred. Associate’s or Bachelor’s degree in business administration, human services, hospitality, or related field a plus.
OTHER QUALIFICATIONS:
Intermediate computer proficiency with MS Office products: Word, Excel, PowerPoint, Outlook, and Teams. Ability to learn organization-specific software.
Ability to work with a diverse group of constituents (families, volunteers, donors, staff) while maintaining professional boundaries.
Ability to be self-directed, work well independently and as part of a team.
High level of initiative, self-motivated and driven to produce results.
Strong customer service/hospitality focus.
Excellent internal and external communication skills.
Must be willing to pitch in and assist in areas that may not fall directly within this position’s stated responsibilities.
WORKING CONDITIONS AND PHYSICAL EFFORT:
Regularly required to use vision, speech, and hearing to answer questions, to prepare documents or reports, or to engage with others while in the course of daily work.
Regularly sits at a desk to perform administrative work, view computer monitors, and utilize a computer keyboard.
Regularly stands, walks, or climbs stairs around the House, in the kitchen, working with groups, and giving tours.
Regularly use hands and arms to handle items, reach above or below, stock supplies, and remove trash.
Occasional bending, kneeling, and squatting.
Regularly required to lift and carry up to 20 pounds.
This position is located at the Cleveland Ronald McDonald House, 10415 Euclid Avenue, Cleveland, OH, where free on-site parking is available.

$20.00 minimum hourly rate
