Job Description

The Office Manager serves as the senior administrative and operational leader responsible for coordinating the company's office functions and supporting efficient electrical service operations. This role oversees administrative personnel, manages technician scheduling strategy, coordinates permit administration, and ensures effective communication between office staff, field technicians, customers, and municipal authorities.

The Office Manager exercises independent judgment in prioritizing technician schedules, coordinating operational workflow, resolving customer service issues, and maintaining compliance with municipal permitting and inspection requirements.

This position plays a critical role in revenue protection, operational efficiency, workflow optimization, regulatory compliance, and customer satisfaction.

Employment Classification

This position is classified as Exempt under the Administrative Exemption of the Fair Labor Standards Act (FLSA) and applicable New Jersey wage laws.

The position involvesoffice work directly related to the management and general business operations of the company and requires the consistent exercise of discretion and independent judgment on matters of operational significance.

The employee is compensated on a salary basis in accordance with applicable law. The company reserves the right to review and modify classification if job duties materially change.

Primary Leadership & Supervisory Responsibilities

• Directly supervise administrative staff, including Virtual Assistants and other office personnel.

• Assign, prioritize, and oversee the work of administrative staff to maintain efficient office operations.

• Provide training, performance feedback, and operational guidance to support staff productivity and accountability.

• Make recommendations regarding hiring, discipline, performance improvement, and termination decisions.

• Ensure consistent office coverage and operational stability

• Develop and enforce office procedures designed to improve operational efficiency and workflow consistency.

Operational Authority & Independent Judgment

• Independently assign and prioritize technician scheduling based on technician skill level, job complexity, geographic efficiency, customer urgency, and business impact.

• Exercise discretion when determining job readiness, permit requirements, and scheduling approvals.

• Identify scheduling gaps and adjust dispatch strategy to maximize technician productivity and same-day service opportunities.

• Resolve customer disputes, scheduling conflicts, inspection issues, and operational escalations.

• Communicate and coordinate with utility companies, municipal construction offices, and regulatory authorities regarding permits, inspections, and compliance matters.

• Identify operational workflow risks and implement corrective scheduling or administrative adjustments to maintain service efficiency.

• Monitor operational processes including invoice tracking and deposit workflow coordination.

• Support revenue protection by improving technician utilization and maintaining efficient job scheduling.

These responsibilities require the consistent exercise of independent judgment in coordinating operational workflow, technician utilization, regulatory compliance, and service delivery decisions that directly impact company operations and revenue.

Permit Coordination & Regulatory Compliance

• Oversee preparation, submission, and tracking of electrical permits in accordance with municipal requirements.

• Maintain communication with township construction departments and regulatory authorities.

• Coordinate inspection scheduling and ensure timely follow-up on required inspections.

• Ensure permit documentation is accurate, complete, and properly retained.

• Maintain updated internal records regarding township permitting requirements and procedures.

Failed Inspection & Compliance Management

• Monitor and track failed inspections.

• Coordinate corrective action plans between field technicians and municipal inspectors.

• Ensure timely rescheduling and resolution of inspection deficiencies.

• Maintain documentation supporting compliance and corrective measures.

Generator Maintenance Program Oversight

• Oversee generator maintenance agreement scheduling and renewal coordination.

• Ensure maintenance visits are properly scheduled and documented.

• Monitor program performance and support customer retention related to maintenance agreements.

Additional Duties

The Office Manager may perform additional administrative or operational duties as business needs evolve. Responsibilities may be modified, expanded, reassigned, or restructured at management’s discretion to support efficient company operations.

Work Schedule

Monday through Friday.
