Job Description
The Project Manager, Inpatient Epic Implementation serves as the central coordinator and delivery lead for The Brooklyn Hospital Center’s inpatient Epic EHR implementation. This role is responsible for end-to-end project planning, execution, and governance across all inpatient workstreams, including but not limited to Inpatient (ADT), CPOE, Clinical Documentation, Stork, Willow Inpatient, and Rover. The Project Manager ensures on-time, on-budget delivery while maintaining alignment between operational, clinical, and IT stakeholders.
This is a full-time, on-site position that requires flexibility in work hours to support go-live activities, system testing, and end-user training. The Project Manager reports to the Chief Information Officer and works in close partnership with Epic Technical and Operational Leads, department leadership, and the NYS DOH as required by the grant conditions governing the implementation.
Requirements
Education
• Bachelor’s Degree in science or healthcare field preferred
Experience
• Demonstrated experience managing projects or research
• Familiarity with safety-net or urban academic medical center environments strongly preferred.
• Experience coordinating with state or federal grant requirements (e.g., NYS DOH, DSRIP, HEAL NY) preferred.
Skills & Competencies
• Ability to develop and maintain detailed project plans, risk registers, RAID logs, issue trackers, and executive dashboards.
• Excellent oral and written communication skills with demonstrated ability to translate technical concepts for clinical and operational audiences.
• Skill at facilitating cross-functional meetings, driving decisions, and holding workstream leads accountable to milestones.
• Strong analytical and problem-solving skills; ability to identify dependencies, anticipate risks, and escalate appropriately.
• Ability to work effectively across complex, multi-stakeholder environments including clinical staff, IT teams, Epic representatives, and hospital administration.
• Proficient in Microsoft Office Suite (Project, Excel, PowerPoint, Word, Teams) and collaboration platforms.
• Demonstrated ability to manage competing priorities, adapt to changing timelines, and maintain composure under pressure.
• High degree of self-motivation, detail orientation, and accountability for deliverables in a fast-paced environment.
Key Responsibilities
• Own and maintain the integrated inpatient Epic implementation project plan across all workstreams, ensuring alignment with the June 2027 go-live target.
• Lead weekly and bi-weekly governance meetings with operational leads, IT leadership, and Epic project team; prepare and distribute meeting materials, action items, and status reports.
• Track and manage all project risks, issues, decisions, and dependencies; proactively escalate blockers to the CMO/CIO and Steering Committee.
• Coordinate scheduling and logistics for all Epic-required activities including Design sessions, build reviews, testing sprints (SUT, IST, UAT), Readiness Assessments, and Command Center operations.
• Serve as primary liaison with Epic project team and manage the Epic-TBHC project relationship.
• Monitor budget actuals against the approved NYS DOH grant budget; support documentation for budget modifications and reporting requirements.
• Partner with Training Lead and department managers to ensure end-user readiness and adoption across all inpatient units.
• Maintain project documentation in accordance with TBHC and Epic standards.
• Support post-go-live stabilization planning and optimization roadmap development.
