* Provides administrative support and performs non-routine, complex administrative tasks assigned by and on behalf of the Bureau Chief of Security * Independently make decisions and judgements involving non-legal interpretation of policies and procedures and take appropriate action * Responds to communication from departmental and non-departmental entities * Research and drafts response for Bureau Chief of Security signature * Reviews various reports for Bureau Chief of Security by checking for completeness and accuracy of information and compliance with procedures including departmental clear-out Transportation both in state and interstate compact fiscal, EEO, training and institutional site visits, vulnerability assessments and internal management audits * Coordinates the logistical needs of the Bureau Chief of Security's areas (e.g.
travel needs, hotel acquisition for employees) * Composes and types and tracks reports for Bureau Chief of Security (e.g., site visit reports vulnerability reports) represents Bureau Chief of Security on various departmental committees * Organizes and coordinates meetings and conferences with outside agencies * Communicates policies, procedures, rules and directives to staff and assures that all staff receive and review communications * Gathers facts and information to produce the required reports (e.g.
Office of Prison Weekly Report requirements) * Handles and enters confidential reports/information that occur within the Bureau Chief of Security's assigned area.
* Perform secretarial and routine tasks for the Bureau Chief of Security * Maintains Bureau Chief of Security's calendar (e.g., schedules meetings, appointments and interviews) * Takes and transcribes meeting minutes and minutes of other events as directed by the Bureau Chief of Security * Screens all incoming telephone calls * Acts as liaison between the Bureau Chief of Security, other government agencies, the general public, other institutions and/or the Office of Prisons * Answers and/or refer to appropriate staff sensitive telephone calls regarding inmates or employees * Distributes and/or routes all incoming mail and reports * Reviews supply inventory and orders for the Bureau Chief of Security when necessary * Requests for new equipment as necessary * Maintains the Bureau Chief of Security's filing system by adding new information and discarding obsolete information 36 mos.
