Job Summary:

Provide day to day administrative support to talent acquisition activities. Responsible for assisting with documentation, filing, scheduling, applicant tracking system (Taleo) data entry, and onboarding activities.

Responsibilities

Schedule interviews, make confirmation calls/emails, answer applicant inquiries and track and document responses.

Collaborate with the Recruiting team to create position requisitions in the applicant tracking system (ATS).

Post job openings internally and/or externally to career boards within established guidelines as directed by the Senior Recruiter.

Provide information about the Company and career opportunities to outside agencies and potential applicants within established guidelines. Coordinate Agency Intake meetings as directed by Senior Recruiter

Provides assistance for recruiting activities as directed by Senior Recruiter.

Responsible for understanding and complying with all policies, procedures, and regulations relating to job duties.

Coordinate and schedule meetings, schedule interviews, book conference rooms, set up video conferencing/conference calls, etc.

Work with external travel department to coordinate candidate travel and accommodations

Greet candidates upon arrival and provide them with an interview packet (job description, interview schedule, benefits at a glance, perks, etc.)

Process candidate expense reports for reimbursement

Update offer document templates as needed; test new functionality in Taleo

Responsible to enter and track final candidates for required background screening, ensure clean hand off to HR Coordinator.

Work on special projects around recruitment initiatives

Provide status update on requisitions to HR team

Responsible for updating Taleo with updated information/correspondence

Coordinate the recruitment efforts for Customer Service (prescreen candidates, coordinate onsite open houses, obtain feedback on candidates, responsible for keeping the candidate flow moving smoothly and providing status updates to candidates)

Train managers and agencies on Taleo. Role models CooperVision core values at all times: Dedicated, Innovative, Partnering, Friendly.

As business needs dictate, works extended hours to complete daily department goals or tasks to include mandatory overtime.

Travel: Rare (<5%); potential travel for recruiting activities within the greater Rochester area only.

Qualifications

Knowledge, Skills and Abilities:

Ability to exercise strong judgment skills in situations that are often confidential.

Ability to work in a fast-paced environment and deal effectively with constant change.

Possess strong organizational, problem solving, and multitasking skills.

Strong interpersonal communication skills, including written and oral communication, email etiquette, and preparation of reports or presentations.

Proficient in Microsoft Office applications required.

Experience with Applicant Tracking System, specifically Taleo, strongly preferred.

Keen eye for accuracy and detail.

Must be able to read, write and speak fluent English.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, etc.

Experience:

Demonstrated experience managing confidential information with discretion and maturity.

3-year related job experience or degree

Prior experience with Applicant Tracking System(s) preferred.

Experience in multi-faceted environment with strong administrative support experience.

Experience communicating with all levels of roles within an organization.

Education:

Minimum Associates Degree in Human Resources or Business and a minimum 3-year related job experience; or equivalent work experience.

Coursework or certification related to Human Resources a plus.

Equivalent combination of education and experience may be considered.

For U.S. locations that require disclosure of compensation, the starting base pay for this role is $19.00 per hour and may include cost of living adjustments. The actual base pay includes many factors and is subject to change and modification in the future. This position may also be eligible for other types of compensation and benefits.
