Construction Department

The Construction team is responsible for the management of delivering data centers from conception through commissioning, working with Sales, Operations, Development, and Engineering along the way. Construction also works closely with partner contractors to come up with a vertically integrated design and manages these partners to deliver the projects on schedule and budget. Many times, a role like this at other companies is purely oversight. One thing that distinguishes Vantage Data Centers is that our technical staff is given the responsibility and authority to directly drive the process. When compared to external resources, our internal team can align long-term operational sustainability with value engineering and cost metrics to deliver products aligned with corporate goals. Position Overview

Vantage is seeking a highly organized and proactive Document Manager to lead document control processes and establish robust quality assurance and quality control procedures for all construction projects. This dual-role position plays a critical part in ensuring the successful and compliant execution of data center builds while maintaining consistency, traceability, and high standards across documentation and construction deliverables.

You will work closely with internal teams, general contractors, design partners, and external vendors to oversee project documentation and enforce audit protocols. The ideal candidate is detail-oriented, a strong communicator, and capable of developing and maintaining scalable systems and procedures across multiple projects and geographies.

Essential Job Functions

Document Control Responsibilities

Lead and manage the full lifecycle of document control for all construction projects, from initiation through closeout

Develop, implement, and maintain standardized document control systems and processes

Develop and maintain templates for project reporting, compliance, and technical documentation

Administer Procore platform including document hierarchy, naming conventions, workflows, permissions, and compliance checks

Provide training and support to users on the effective use of the EDMS and document control procedures.

Establish, maintain, and administer the electronic document management system (EDMS) and/or physical filing systems.

Facilitate the timely setup and onboarding of vendors in accordance with document control requirements

Ensure all documents are properly reviewed, approved, archived, and retrievable per corporate standards

Act as the primary liaison between project teams, legal, and accounting departments for all document-related matters

Train and mentor Project Coordinators and other staff in document control best practices and procedures

Audit Responsibilities

Establish and implement QA/QC audit procedures and standards for construction activities across projects (in line with current VDC procedures)

Collaborate with internal and external stakeholders to develop inspection and test plans (ITPs)

Lead the coordination and documentation of audit reviews, including construction observation reports, punch lists, and deficiency tracking

Ensure audit compliance with project specifications, codes, and internal requirements

Conduct audits and site visits as needed to verify construction quality and adherence to standards

Monitor and report on quality metrics, ensuring continuous improvement across projects

Interface with design, operations, and commissioning teams to ensure seamless quality transitions through each phase

Other Responsibilities

Manage Microsoft Teams and Procore pages to ensure centralized, consistent documentation across projects

Facilitate weekly construction project reporting and provide accurate status updates

Support change order and PO management to ensure alignment with quality documentation

Maintain accurate budgets and forecasts within Procore

Perform document and quality-related audits for ongoing and completed projects

Other duties as assigned by management

Job Requirements

Bachelor’s degree in Construction Management, Engineering, Architecture, or related field; equivalent experience will be considered

Minimum 3 years of experience in document control or project coordination within construction environments, with audit experience strongly preferred

Data center construction experience is a significant plus

Familiarity with CSA and MEP disciplines and their associated documentation

Experience using Procore or similar construction/project management software

Strong organizational skills, attention to detail, and a proactive approach to problem-solving

Excellent written and verbal communication skills

Travel expected to be less than 5%, with potential for growth over time
