Rutland Northeast Supervisory Union is seeking a knowledgeable and collaborative CIA Operations Assistant.

The Curriculum, Instruction & Assessment (CIA) Operations Assistant provides high-level organizational and operational support to the Assistant Superintendent of Curriculum, Instruction & Assessment and team.

The position plays a key role in strengthening the systems, structures, and coordination required to sustain RNESU's instructional priorities and continuous improvement work.

Working closely with the Assistant Superintendent of CIA, this role serves as a central coordination point for projects, communications, professional learning logistics, and workflow management within the CIA office.

The position helps ensure that initiatives related to curriculum, instruction, assessment, professional development, and district improvement efforts are well-organized, clearly communicated, and supported by strong operational systems and consistent follow-through.

This position functions as an operational coordinator for CIA initiatives, ensuring that district instructional priorities are supported by effective systems, project management structures, and consistent implementation across the supervisory union.

The role emphasizes coordination, documentation, and implementation support that enables instructional leaders and administrators to maintain focus on teaching, learning, and student outcomes.

ESSENTIAL FUNCTIONS: OPERATION & CALENDAR COORDINATION Manage complex calendars, scheduling, and logistics connected to CIA initiatives, meetings, and professional learning.

Coordinate agendas, materials, and follow-up action steps.

Track timelines, deadlines, and deliverables across multiple district projects, such as assessment windows and completion, weekly communication with administrators, leadership team agendas and follow-up, grant compliance documentation, and Continuous Improvement Plan documentation.

Maintain organized digital systems, shared folders, and workflow tools.

Such as: Resource launch pads, for teachers and administrators, curriculum documents, professional development certificates, agendas and follow-up minutes, and tracking through Asana project-based software PROFESSION LEARNING & EVENT SUPPORT Coordinate logistics for district professional learning, including registrations, materials, communications, and certificates.

Track and organize individual professional development requests, including documentation, timelines, and required materials.

Maintain systems that support the review and processing of PD requests while ensuring alignment with established workflows.

Assist with preparing presentations, handouts, and event documentation.

Track attendance, feedback, and participation records.

All in accordance with the union collective bargaining agreements/ employment contract stipulations Support the planning, organizing, scheduling and the execution of initiatives such as Inservice, Early Release, and New Employee Academy, Weekly Admin Newsletter-Compass Connections, Admin Compass, Teacher Leader meetings, and district learning events.

DOCUMENTATION & COMMUNICATION Take detailed meeting notes and translate discussions into clear action steps or task lists.

Draft communications, memos, and organizational documents at the request of the Asst.

Superintendent of CIA Maintain consistent formatting and organization of CIA resources that align with Supervisory Union templates Support the preparation of reports, presentations, and materials connected to district goals and learning priorities as directed by the Asst.

DATA & ORGANIZATION SUPPORT Assist with organization and preparation of assessment and curriculum reports (not analysis or interpretation). Maintain professional development, project management, and grant tracking systems (Vermont Grant Management System), (Google Suite), and (Asana). Support coordination between the CIA office and other central office departments as directed.

Assisting with preparation of communication materials such as the weekly administrative newsletter.

GRANT & PROJECT COORDINATION SUPPORT Responsible for monitoring the organizational and logistical aspects of grant-funded initiatives, including tracking timelines, documentation, and required records.

Coordinate materials and communications connected to professional learning or projects supported through grant funding.

Support the preparation and organization of documentation needed for reporting or internal tracking, in collaboration with the Assistant Superintendent of CIA and Business Office.

Maintain clear organizational systems for grant-related files and deliverables OPERATIONS & WORKFLOW MANAGEMENT Serve as a central organizational hub for the CIA team, initiatives, and ongoing projects.

Anticipate needs and help streamline processes to improve efficiency.

Oversee logistical coordination and ensure timely follow-through on tasks Any other duties as assigned.

QUALIFICATIONS High school diploma Experience in a school environment is preferred.

Excellent communication skills, organizational skills and ability to complete complex tasks with attention to detail in an accurate and timely manner.
