Position Overview
We are seeking a highly organized, proactive and experienced Executive Assistant to support senior leaders at a rapidly growing CPA firm. This role serves as a trusted partner to multiple executives, ensuring day-to-day operations run smoothly, priorities stay aligned, and critical administrative and strategic tasks are executed with precision.
The ideal candidate thrives in a fast-paced professional services environment, exercises sound judgment, and anticipates needs before they arise. This position requires exceptional communication skills, strong attention to detail, and the ability to manage sensitive and confidential information.
Key Responsibilities
Provide high-level administrative support to senior partners and executive leadership
Manage complex calendars, scheduling internal and external meetings across multiple time zones
Coordinate and prepare materials for partner meetings, board meetings, and client presentations
Draft, edit, and format correspondence, reports, proposals, and presentations
Serve as a liaison between executives, clients, and internal departments
Coordinate domestic and international travel, including itineraries, accommodations, and expense reporting
Track and manage action items, deadlines, and follow-ups on key initiatives and projects
Assist with planning firmwide meetings, leadership retreats, and client events
Support onboarding logistics for senior hires and key client engagements
Handle confidential information with the utmost professionalism and discretion
Help streamline administrative processes and implement efficiency improvements
Provide backup support to other administrative team members as needed
Qualifications
3+ years of experience supporting senior executives, preferably in a CPA firm, law firm, or other professional services environment
Proven ability to manage multiple priorities with a high level of accuracy and urgency
Exceptional written and verbal communication skills
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms
Strong organizational, problem-solving, and project management abilities
High degree of professionalism, discretion, and emotional intelligence
Ability to work independently and anticipate executive needs
Experience with CRM systems, time and billing software, or document management systems is a plus
