Job Description Summary

The Program Coordinator/Standardized Patient (SP) Educator supports the mission, goals, and objectives of the Clinical Evaluation Center (CEC) by collaborating with SP Simulation Program staff to ensure best practices are upheld in all simulation activities. This role combines expertise in SP training and performance evaluation with a range of complex administrative responsibilities. These include working with students, faculty, and SPs in accordance with established departmental policies and procedures.

Key responsibilities include managing and using learning management systems, coordinating the hiring and onboarding of Standardized Patients (SPs), supporting their training, assisting with performance evaluations and feedback, overseeing hallway proctors during events, and helping maintain exam materials and related databases. The role also supports routine activities involving students, faculty, staff, residents, and other stakeholders. Flexibility to work occasional evenings and weekends, with advanced notice, is expected of all CEC employees. This position reports directly to the SP Simulation Manager.

This is a full-time non-classified position with full state benefits and is non-exempt from FLSA provisions regarding overtime. Minimum starting salary is $42,900, commensurate with education and experience applicable to the position. Not all activities of this position occur within the confines of an 8:00-4:30 schedule and requires occasional evening and weekend scheduling.

This position has been designated as Essential. This means that when WVSOM is faced with an institutional emergency, employees in such positions may be required to remain at their work location or to report to work to protect, recover and continue operations at WVSOM.

Duties and Responsibilities

General Duties and Responsibilities

Program Lumeto for all virtual events, troubleshoot with students, run reports, course and data entry.

Program SimCapture for SWC EHR Family Medicine assignments, proctor assignments and track completion.

Review case demographics and SP limitations to appropriately assign SPs for each case and confirm for all SP Simulation Events.

Assists with setup of EHR, Telehealth, X-rays, OtoSim, iPads, and other platforms needed for SP Simulation Labs.

Initial troubleshooting for student log in issues, student and SP station computers, iPads, Inter Rater Laptop Stations.

Assists with the development, creation, editing and formatting of all exam materials including SP cases, schedules, sign-in sheets.

Update CEC case database following every SP Simulation Event.

Designs, creates and publishes Quarterly SP Newsletter.

Assists with preparing reports and SP cases for OSCE Task Force Meetings.

Assist with development, coordination and facilitates SP Trainings.

Provide SP encounter reviews as assigned by SP simulation manager

Requires facilitation or participation in training

Provides feedback on accuracy of portrayal and accuracy of grading

Provide coverage for SP roles during events when needed.

Train and oversees hallway proctors as needed.

Assists as needed with SP information database entry, timesheet entry and invoicing.

Assist with events that occur within the Clinical Evaluation Center, which will require evening and weekend scheduling as needed.

Completes SP inter rater consistency comparisons.

Communicates with Clinical Sciences Department or Office of Institutional Effectiveness as needed to obtain needed accreditation material.

Participate and present at National conferences and other professional development sessions to enhance job performance.

Maintains SSH Certified Healthcare Simulation Educator Credential

Other related duties, as assigned.
