Academic Program Administrator

Position Summary:

Reporting to the Associate Director (Operations) within Teaching and Academic Programs (TAP), the Academic Program Administrator provides administrative support for the Associate Provost (Academic Programs and Planning) and the TAP team daily operations, and acts as a secretary to several key University committees.

Primary Responsibilities:

Provides administrative support to the Associate Provost (Teaching and Academic Planning), and the TAP team, including:

Administer the calendar of the Associate Provost, including coordinating meeting invitations and room bookings

Supports and assists the operations of the Office of Academic Reviews and assists with the logistics (including travel arrangements) pertaining to the organization of academic and administrative site visits involving high profile external evaluators; act as notetakers for full site visits for academic reviews.

Provide support in tracking accreditation cycles in Faculties, including document collection, and liaising with appropriate external bodies

Providing general support pertaining to expense reports, travel, and other logistics for the APTAP and the staff within the portfolio. Reconciliation of financial transactions

Secretary, to the Academic Policy Committee (APC), the Senate Committee on Libraries, other APC Subcommittees, or other relevant committees as assigned. Provides support to the Chair of these committees as needed, agenda, minute taking, reports to Senate. Web support for the committees’ website.

Supports the Course and Program Officer as needed, including liaising with Faculties and other units, tracking and organizing files, process support, e-calendar updates, and assisting with dossier preparation for programs, or other course and program changes
