Job Description: Office Manager

Role Overview:

The Office Manager is responsible for the seamless administration of the company’s daily operations, acting as a critical bridge between production staff, customers, and executive leadership. This role focuses on optimizing internal systems, managing the employee lifecycle, and ensuring high-quality customer engagement.

Key Functions

1. Bookkeeping & Recordkeeping

Expense Management: Review and categorize expenses, ensuring all documentation and receipts are accurate and substantiating.

AP Management: Handle tracking and ensuring timely payment to suppliers.

Production Metrics: Track and report weekly production data, including failure percentages, recuts, inspection totals, and shoemaker outputs.

2. Employee Management & HR

Policy Administration: Serve as the primary point of contact for the Employee Handbook, answering questions on policy and ensuring compliance.

Personnel Data: Manage and update employee records, including tax forms (W-4), contact information, etc.

Benefits Oversight: Administer group health plans (UnitedHealthcare), workers' compensation claims, COBRA notifications, and statutory leave (Military, Jury Duty).

Recruitment & Sourcing: Manage job listings, screen potential candidates, and coordinate the onboarding process for new hires.

Employee Development: Implement and manage a structured system for performance and cost-of-living raises; conduct follow-through meetings on employee career paths.

Conflict Resolution: Act as the first point of contact for employee grievances and mediate interpersonal communication challenges within the production team.

3. Customer Service

Client Interfacing: Handle daily customer inquiries via email.

4. Supplies & Inventory Management

Inventory Systems: Develop and maintain tracking spreadsheets for critical supplies (e.g., glue, hardener, envelopes) to prevent production delays.

Procurement: Oversee the ordering of shop supplies and machine parts; source specialized equipment from vendors as needed.

Receiving Protocol: Maintain a strict "hard handoff" system for incoming packages to ensure parts are not misplaced and are directed to the correct department leads.

Internal Accountability: Implement systems, such as weekly inventory sheets, to shift the responsibility of reporting low supplies onto department employees.Company Description
