About the Job

The Executive Personal Assistant supports the daily operations and workflow of the CEO, COO, and Chief of Staff. This role ensures the effectiveness, organization, and responsiveness of the executive offices by providing high-level administrative, logistical, and on-site support.

The Executive Personal Assistant supports the Chief of Staff in managing the day-to-day operational needs of the Executive Office, including scheduling coordination, communication support, technology and systems management, information organization, and the execution of projects and tasks assigned by executive leadership. This role helps maintain efficient office systems and ensures that priorities are tracked and carried through to completion.

The Executive Personal Assistant communicates with professionalism, clarity, and discretion. They help facilitate smooth interactions between executive leadership and stakeholders at all levels of the organization, ensuring timely follow-up and alignment.

A primary function of the Executive Personal Assistant's role is to provide hands-on, on-site support to meet the practical and logistical needs of executive leadership, including office coordination, meeting preparation, errands, and other tasks that enable leaders to remain focused on strategic priorities. In order to maximize the effectiveness of the leaders being supported, this role may also involve supporting leaders in personal areas of life, including but not limited to occasional coordination for and assistance with childcare, family member transportation, and other personal or familial errands.

The Executive Personal Assistant handles confidential information with integrity and sound judgment. They are expected to protect sensitive matters entrusted to them and to approach every responsibility - whether strategic or seemingly small - with excellence, recognizing its importance to the overall health and mission of the organization.

Responsibilities

Executional / Operational

Executive Priority Execution

Execute tasks and initiatives assigned by the CEO, COO, and Chief of Staff (CoS)

Provide consistent follow-up to maintain momentum on executive priorities

Workflow Support

Ensure smooth daily workflow within the Executive Office

Anticipate needs and proactively address gaps before they disrupt productivity

Communication & Coordination Execution

Facilitate the flow of communication to and from the Executive Office

Email, phone, etc.

Prepare meeting materials and coordinate logistics

Coordinates high level communication needs between the Executive Office and staff / external stakeholders

Systems

Operate within and improve administrative systems (Google Workspace, spreadsheets, shared drives, task tools)

Support calendar management and planning of the CEO, COO and CoS

Support the implementation of new processes

Qualifications and Experience

A mature personal Christian faith that is consistent with the LifeWise Academy Statement of Faith

Undergraduate degree in related field (preferred)

Administrative support experience (preferred)

Strong organizational skills

Attention to detail

Ability to multitask effectively

Excellent time management
