Virtual Fulfillment Analyst

Job Description

Role Overview:

We are looking for a highly organized and detail-oriented Virtual Fulfillment Analyst to support our growing operations. This role is responsible for ensuring that all materials required to fulfill customer orders (apparel, drinkware, and other product categories) are accurately sourced and ordered from various suppliers; locally, across different US states, and internationally.

The ideal candidate is responsive, proactive, and able to manage multiple orders, suppliers, and timelines simultaneously without errors.

Key Responsibilities:

Review incoming orders and identify all required materials and components

Place purchase orders with suppliers (local, domestic US, and overseas)

Track supplier confirmations, production timelines, and shipping updates

Ensure correct quantities, specifications, and delivery timelines

Maintain accurate fulfillment and procurement records

Coordinate with internal teams (design, production, customer service) to prevent delays

Follow up with suppliers to resolve delays, shortages, or discrepancies

Monitor stock levels (if applicable) and anticipate reorder needs

Identify opportunities to improve ordering efficiency and supplier coordination

Required Skills & Qualifications:

Strong organizational and time-management skills

Exceptional attention to detail (accuracy is critical)

Ability to manage multiple orders and suppliers simultaneously

Clear and professional written communication

Strong follow-up skills and sense of urgency

Comfortable working in spreadsheets (Google Sheets / Excel)

Experience working with US-based and international suppliers is a plus

Experience in ecommerce, print-on-demand, or merchandise fulfillment is preferred
