The Opportunity

We need a proactive Executive Assistant to serve as the right hand to our CEO & CSO. In this role, you aren’t just "managing a calendar"—you are optimizing the CEO’s most valuable resource: time. You will be the glue that holds our executive operations together, ensuring that while our scientists focus on the lab, our business moves at the speed of light.

What You’ll Do:

Calendar & Schedule Coordination: Maintain the CEO’s calendar with precision, ensuring meetings are scheduled logically and all parties have the necessary dial-in or location details.

Travel & Logistics: Research and book travel arrangements, including flights, hotels, and ground transportation. Prepare digital itineraries and ensure all travel documentation is organized.

Administrative Document Support: Assist in the preparation and formatting of documents, presentations, and spreadsheets. Perform data entry and ensure digital filing systems (SharePoint) are organized and up to date.

Board & Meeting Assistance: Help organize Board and leadership meetings by booking rooms, ordering catering, and distributing digital materials.

Communication & Reception: Act as a first point of contact for the executive office, greeting visitors and emails appropriately.

Draft routine correspondence and internal announcements under the direction of the CEO.

Office Operations: Monitor office supplies, executing shopping trips (e.g., Costco, Staples, or FedEx), and assist in maintaining a professional office environment.

Support the CFO and other department heads with administrative tasks as time permits.

Assist with the coordination of company-wide event

Requirements

What We’re Looking For:

Bachelor’s degree required (Business, Communications, or English preferred).

2+ years of experience in an administrative or office support role is required.

No prior Life Science experience required, but a strong interest in biotechnology and a "quick-study" mindset are essential.

Experience in a high-growth startup is a plus.

Communication: Excellent written and verbal communication skills; able to interact professionally with everyone from vendors to the CEO.

California Base Salary Range

The expected annual base salary for this position ranges from $73,100.00 to $96,900.00, plus bonus, equity, and comprehensive benefits. The base salary range reflects the target range for this position, but individual pay will be determined by various factors, including the qualifications of the individual applicant for the position, years of relevant experience, job-related skills, relevant education attained, work location, and organizational needs. This range may be modified in the future. A discretionary annual bonus may be available based on individual and Company performance.
